exington Council for the Arts <br />Meeting Minutes <br />1. Pre - Meeting <br />a. Choosing volunteer opportunities - members put their names onto cards and placed them into little <br />bags that were labeled with events and planning work that the Council will be involved in in the <br />coming year. This was designed to match Council members' interest with volunteer opportunities. <br />b. Photo for the Town annual report - David Tabeling from the Town came to take a photo for <br />submission to the Town annual report. <br />c. Attendance: <br />• Present: Cristina Burwell, Lynne Klemmer, Diana South, Leslie Masson, Jean Hart, <br />Seetha Ramnath, Zoe Perry-Wood <br />• Absent (Rosh Hashana): Emily Passman, Cheryl Meadow, Regie Gibson - O'Hare, Jessie <br />Steigerwald <br />• Guests: Susan Hammond (applicant) <br />• Recording Secretary: Seetha Ramnath <br />Meeting start time: 7:05pm <br />2. REPORTS <br />a. Secretary's Report <br />All were in favor of approving minutes from last meetings (May /June 2015). Motion from Lynne and <br />Jean seconded. <br />b. Treasurer's Report <br />Treasurer's update: Grant year 2014 is closed. The Council had $4,425 approved for grantees, <br />has paid $3900, which leaves $525 remaining. $4800 was allocated by the state for the 2015/16 <br />budget. Preliminary estimate 2015/16 is $5,325 to be granted this year pending banking account <br />reconciliation. We are reporting $2,238 in encumbered funds. Finance files are all organized on the <br />Google drive. <br />c. Chairwoman's update: <br />• Reed Room is booked for the year for these meetings. The group requested investigating <br />other locations for grant meetings where we need more space. October meeting changed <br />to 19th at 7pm. November 9th at 7pm. <br />• Handbooks have been created for each of our major roles, and they will be passed out at <br />the next meeting. <br />• Annual report - Cristina passed out a draft of information for the Town annual report and <br />has asked for feedback. <br />d. Website & Social Media Report <br />Per discussion at the June meeting, Cristina and Diana explored ways over the summer to: 1) <br />provide a website that current and future Councils can easily update, given the dynamic nature of <br />the group, and 2) is inexpensive, given our modest budget. Results of that exploration: <br />• The LCA currently pays for the Lexington open studios website, which also hosts the LCA <br />1 of 4 <br />
