October 17, 1957 <br />' Board of Selectmen <br />Town Office Building, <br />Lexington 73, Mass. <br />Gent lem en: <br />Understanding that the new police station and town <br />office building is nearing the occupancy stage and that other <br />office space is to be rearranged, the Planning Board would like <br />to present at this time a request for additional office space. <br />This need has been brought about by the fact that progress in <br />the preparation of a long-range master plan has now proceeded <br />to the stage where a considerable amount of work on maps must <br />take place, these maps in various stages of development having <br />to be mounted on walks for temporary reference. In addition <br />to the maps, space is needed for the preparation of a topo- <br />graphic model of the town, said model to be used for future <br />reference and display purposes. <br />The Board has in mind the continuance of its office <br />in its present quarters and the addition of the present office <br />used by the Cemetery Commissioners. This suggestion is based <br />on the recommendation that the latter office be used as a map <br />preparation room, access to it being obtained by cutting a <br />' doorway through the wall now separating the Cemetery Commission- <br />er's office and the closet in the office of the Planning Board. <br />With such an arrangement, drafting table and plan files could <br />be moved into the office now occupied by the Cemetery Commis- <br />sioners so that any drafting or planning assistant working on <br />plans or models may have ample room for such work and yet not <br />disturb - as has often happened this past year - a conference <br />or citizens meeting. The present Planning Board office can <br />then be used mainly for administrative work and files, and a <br />combination Planning Director's office and Planning Board meet- <br />ing and conference room. This arrangement would be of a <br />decided advantage to the Board for the reason that all its maps <br />and files would be assembled at its meeting place. It has the <br />additional advantage in that the Board, which now meets in the <br />Town Engineer's Room, would not have to find other locations <br />for meetings when the Engineering Department has need of its <br />facilities in said room. <br />At your convenience the Planning Board would like to dis- <br />cuss this matter further with you and explain more fully its <br />request for additional office facilities. <br />Sincerely yours, <br />I <br />Isl Thomas S.
