ESTABLISHING COMMON PRACTICES ACROSS 300TH EVENTS 3 THEMES FOR THE 300TH ANNIVERSARY YEAR 4 NEW IDEAS/CONTACTS 5. NEXT STEPS Events Subcommittee Chair Jessie Steigerwald called the meeting to order at 8 30 a.m. Jessie distributed an updated contact list and requested members confirm their information. Draft minutes for the July 13th meeting were distributed for review and a vote later in the meeting. 1 EVENTS SCHEDULE UPDATES. Jessie outlined the major events for the 2012-2013 celebration, with a September 2012 'Kickoff', March 2013 `Incorporation Weekend, and May 2013 `Closing' Tanya reviewed reservation needs, importance of communicating event schedules to other Lexington groups so as to not conflict with Lexington 300th plans, advantage of issuing a 'save the date' postcard, need to contact Lexington Patch, Lexington Minuteman, Colonial Times and other publications for publicity A possible 'Save the Date, you're about to be 300' was suggested. 2. ESTABLISHING COMMON PRACTICES ACROSS 300TH EVENTS Color Scheme—With the decal already blue and yellow, it was suggested the color RED be added [along with white], for a red-yellow-blue color scheme Publicity—Discussion continued on publicizing events, with suggestion that we `push' publicity along with ongoing `silent' opportunities such as tax bill mailings, web site, voting days, other gathering events Community Forum is scheduled for September 21, 2011 at Cary Library Jessie distributed a copy of concept flyer for publicity that all deemed very good. Discussion ensued on additional formats/needs such as small/large poster showing key information. With that, the importance of the need to confirm the celebration theme was discussed. Opening Ceremony—Jessie reviewed general plans Discussion on parking challenges, possible shuttle sites, assigned parking, etc ensued. [Diamond & Clarke schools9] Lexington 300th Anniversary 1 Lexington 300th Anniversary Celebration Committee Incorporation Weekend — Saturday and Sunday — discussion on how to schedule events— assigned slots or times randomly scheduled throughout the days It was the sense from discussion that a combination of both set times - 9 a.m. — 11 00 a.m. — 1 00 p m. core event slots with other events dispersed throughout the days Motion to approve minutes of July 13, 2011 was made and adopted unanimously 3 THEMES FOR THE 300TH ANNIVERSARY YEAR Discussion on the theme ensued. A generally supported theme of `Lexington's 300th—We are Lexington' was presented. This theme allows for the many faces, facets, and events of Lexington's 300 years to be featured. Jim Hollister, National Park Service, in questioning what we wish to celebrate, offered possibilities such as •Antique auto community •Hats competition •Review of 1813, 1913 celebrations •War of 1813 and Lexington Other possibilities include— segmenting timeline, Worthen Collection, other group/individual collections & holdings, historical review of newspaper advertisements— costs, products, companies, etc Jim Hollister identified development of the Whittemore house within the National Park Service, its Lexington location, and possible highlighting along with other Lexington sites such as Parker's Revenge, the Bluffs, Fiske Hiss, etc Jessie questioned interest in the NPS Junior Park Ranger program, to which Jim indicated that program is mostly of interest to visitors Jim is also active in the colonial dancing community Opportunity to connect the Liberty Ride or other such programs to the Whittemore House events, possible Liberty Ride tour for the afternoon, special route9 4 NEW IDEAS/CONTACTS (TO BE PROT 7DED BY JESSIE) Technology& Cable Television—Jessie 5 NEXT STEPS(TO BE PROT 7DED BYJESSIE) Respectfully Submitted, Donna Hooper, Scribe Lexington 300th Anniversary 2
