Diana GROUP EMAIL Hi, I am forwarding an email from Marianne McKenna, District Technical Services, Lexington Public Schools, Based on her email, I have outlined the next steps. 1. Authorization from Lynne Stinson for the PTA to setup the list serves. 2. Name our list serve "Hastings- announcements" 3. Decide how we will Administers/ moderator the list serve, Hastings's staff person, and /or PTA volunteer To launch the site we will need to collect the parent's email addresses with a permission statement and sent them to Marianne in a batch. Lynne, at the beginning of the year, I believe there was a space on the emergency form for parent to give Hastings their email addresses and permission to use it. Do we have that information somewhere or is it best to start fresh and send a letter to the entire school, describing this project and the benefits of using the list serve to communicate to Hastings parents? I am following -up with Lisa to get a better understanding of how parents can 2/8/2005 Page 2 of 3 Subscribe or unsubscribe their accounts. As we move forward we need to have a clear understanding of the guidelines and also the number of emails and the type of information that will be communicated to parents through the list serve. I think the process is straight forward, but it will take manpower to implement. Should this be on our agenda for the School Council meeting next Tuesday? I have a call into Lisa and should have additional information to share by Feb. 6th. Most of out PTA's do operate a list serve for their parent community and they seem to work quite well. Basically to start I would need authorization from Lynne Stinson. (Mostly I need a statement from her authorizing the PTA to do this and for what purpose). Most list serves are set up under the auspices of the PTA, not directly under the school administration. However as access is through the schools, the use of the list serve must be reserved for educational information about the school and abide by all 1ps guidelines (mostly you can't use to advocate a political position, nor for private purposes or private fundraising). We can go over the details once we get it approved and set up. Generally, what you will need is one or more person(s) willing to administer and /or moderate the list (this can include Hastings staff - that's up to Lynn). To launch a list, most PTA's collect parent e-mail addresses and send them to me in a batch. I will load them to the list and you are off and running. We can set up the list to be self subscribing via e-mail. It's a little clunky, gut it does seem to work. Basically parents can subscribe or unsubscribe their own accounts. If you have talked with Lisa, you probably already have a general idea of how it works. I can also put you in touch with several of our other list administrators - they are a great resource. So, next step is to get authorization, what you wish to call the list (Hastings- announcements) and who will moderate. I'll take it from there.
