Meeting Minutes

I. Call to order and reading of script for remotely conducted open meetings
II. Approval of September 14, 2020 meeting minutes: Minutes approved unanimously
III. Finance
1. Amy Kaiser(earlier treasurer before Shubra)will connect with Hema and update her.
2. Steve and Jillian had a meeting with the town finance office.
3. Lexington Arts Council has three accounts:
a) Town accounts/funds - General funds available until June 30th. Total $6,000, of
which $2,000 is for outdoor project exhibit. $1,000 website assistance has been
approved. This Town Fund does not rollover, so we should try to use as much as
possible
b) State Account- Grants money treasurer keeps account of this money which rolls
over to the next financial year. Approx $8,000 as of September(about$6,500 was
committed during FY 2020 grant cycle, and much of that has not yet been paid
out to grantees) we need to use most of it or the state funding will be reduced in
future years.
c) Local Account- Approx $2,500. This is the money raised through donations and
from the 5% of the state funding that goes into this account for our administrative
purposes. This account rolls over.
IV. Door Project
1. Town Select Board has officially approved the Go Out Doors project
2. Storage of doors- will ask DPW to store in their buildings once show is over(for
re-installation in the spring, or for being placed on sale)
3. We have four doors, four artists; three doors are almost complete
4. Jillian and Steve had a zoom call with the artist, Silvina regarding the composition for
her door
5. We would like to have labels accompanying the exhibit- one main label for the
exhibit and one each for each door
6. Approximate location of the exhibit-In between Hancock street and visitor center.
Has to be 10 feet away from the bike path
7. We will try to sell doors in an online auction. Artists get 25% of the sale proceeds.
8. We will ask Stewart Ikeda for advice on how to conduct an online auction. Proceeds
will go to the local fund for future art projects.
9. For future events/exhibits we would like to involve other groups in towns -
Lexington Historical Society, Lexington Bicentennial Band, and other non-profits and
town committees that can help us share funding costs.
10. Melissa and Shalini will have a meeting to figure out the logistics of the opening
event of the exhibit. Tentative date is October 17.
V. Website and Publicity
1. Jillian edited the Lexington Council of Arts website. She updated the donation page,
grants, etc.
2. Shalini is looking into the option of hosting the website on another portal such as
Wix/Squarespace/Weebly.
3. Jillian started posting on facebook about the door exhibit.
4. Shalini to send an email to Mass Arts Council about the door exhibit to be included
on their website
5. Jillian and Steve had a zoom call with artist Silvina regarding the composition of her
door.
6. Contact LexMedia to make a video of the artists and their artworks
7. Two artists are local; two out of town. So, we are open to the option of artists sending
their own videos
8. Future publicity avenues include conducting online webinars, Library Lecture Series,
Online Conferences, Workshops, etc.
VII. Recruiting:
Recruit more people into the Lexington Council of Arts Committee. Reach out to
earlier council members. Minimum commitment is to attend all meetings
VIII. Open Mike Event
Melissa will think through the project and moderate the event. It will combine
music, poetry, and other forms of art either on zoom or as an open air event.
IX. Grants
1. Application available on the MCC website. Nov 16th is the due date.
2. In December, we will make decisions regarding which of the applications will not be
recommended for grants.
3. In January, we will make determinations of the grant amounts and communicate that
to the applicants.
