At Cary Hall, 1605 Mass. Avenue MINUTES The Board of Library Trustees meeting was called to order by Rev. Dr. Peter H. Meek at 8:00 A.M. Present from the Executive Committee: Tom Griffiths and William P. Kennedy. Present from the Trustees.- Sara Bombora. Present from the Advisory Committee: lone D. Garing and Walter S. Pierce. Also present were: Carol A. Mahoney, Director, Cynthia Johnson,, Assistant,, Director, Danny Watt, Foundation Director and staff members Ruth N. Lynn and Heather Vandermillen. Everyone introduced themselves around the table. The staff members in attendance were also introduced. Secret4n's Minutes Tom Griffiths moved to accept the minutes as presented. Bill Kennedy seconded the motion and it was voted unanimously. i'Treasurer's Rmo..ft Tom Griffiths made the motion to receive the Treasurer's Report, Bill Kennedy seconded the motion and it was voted unanimously. 'To w..,n Me Carol Mahoney and Peter Meek will be preparing an update on the construction project to be presented to Town Meeting. Constructaon It was pointed out that the new windows are in along Massachusetts Avenue and Clark Street. They will soon be going in on the other sides of the building. Carl Oldenburg has stepped down from the PAC temporarily to assist Stephen Hale in getting the project moving. See attached report. Foundation Report Danny Watt explained that the Foundation has come in $200,000 over their fundraising goal. 24% of the Town of Lexington has participated. The campaign ends on March 31, 2003. Pledges will still be coming in however. Assistant Director's Report Copy on file. The next meeting of the Board of Library Trustees will be on Tuesday, April 22, 2003 at 8:00 A.M. in Cary Hall, 1605 Massachusetts Avenue, Le�ngtan, NIA 02420. All six libraries shared the cost of one membership in "24/7 Reference," which is a project of the non- prof it Calif ornia-based Metropolitan Cooperative Library System. Each library provides two hours of staff time per week. In return, each of the six libraries can offer its patrons online reference assistance 24 hours a day, seven days a week, in real time. Lexington residents can click on the "24/7" icon on the Cary Library home page and begin a live Internet "chat" session with a reference librarian located anywhere in the country. Cary Library reference librarians Jean Williams and Kathy Quinlan received special training to use the "24/7 Ref erence" software. They cover one afternoon a week and answer questions from member libraries throughout the country during that time slot. YA Virtual Book Club Chat Component: In our search for a feasible, library-sponsored chat component for the members of the YA Virtual Book Club, Robin Brenner(one of the club's coordinators) found a product called"ParaChat." After researching this product and finding that it would provide a secure chatting environment without the distraction of advertisements and other commercial add-ons, the library purchased it. ParaChat is hosted by the ParaChat Group, Inc. on a secure server, and a link from our web site will connect the club members to the "CaryChat" chat room. Staff are testing ParaChat to become thoroughly familiar with its use and administration before "going live"in a few weeks. An audiovisual engineer has conducted a site survey to help us determine the types and placement of audiovisual equipment in the Meeting Room,the Technology Training Room, and the Storyhour Room. Ceiling-mounted LCD projectors, SmartBoards, screens, library paging system, and LCD message boards are to be featured in the new library. We will be receiving a proposal soon. The library's technology consultant, Scott Garren of Garren Shay Associates, is preparing an RFP for the data wiring for the new library. We hope to release the RFP in May. We have been planning "Guest access"to our network for patrons for some time. Wired access was to be available as soon as the new library opens, with wireless access to follow (There is already planned placements for wireless access points in various places in the library.).
