MINUTES
The Board of Library Trustees meeting was called to order by Rev. Dr.
Peter H. Meek at 8:00 A.M. Present from the Executive Committee: Tom
Griffiths,, William P. Kennedy and Rev. Jed N. Snyder. Present from the
Advisory Committee: lone D. Garing, Isabel Jankelson and Stephen A.
Krensky. Also present: Carol A. Mahoney, Director., Cynthia Johnson,
Assistant Director and staff members Linda Sullivan and Jean Williams.
Introductions
The staff members present, Linda. Sullivan,, Floater and Jean Williams,
Reference Librarian were introduced to the Trustees. The Trustees and
Advisory Committee then introduced themselves to the staff members.
Secretary's Minutes -- (Copy on file)
Rev. Jed N. Snyder made the motion to accept the minutes as presented.
This was seconded and voted.
Treasurer's Report— (Copies on file)
Carol Mahoney reported that the administration is reviewing accounts to

- ' 0 * ,*January the utility accounts will be transferred to the D.P.W.
A new postage machine has been leased for the library. Carolyn explained
the operation of the machine and also that it costs less a month to run that
the old model.
Rev. Jed Snyder made the motion to accept the Treasurer's Report. Tom
Griffith seconded the motion and it was voted unanimously.
Administration Report
Director's Report— Carol Mahoney pointed out the handout regarding the
Stone Building which is now the East Lexington Branch Library.
The Massachusetts Board of Library Commissioners have filed a library
bond bill for the 2003-2004 legislative session. This legislation seeks to

provide tor the continuation of funds for certain programs of the Board of
Library Commissioners. The bill would provide $3,275,000 per fiscal year
for 3 years for a total of$9,825,000. Representative Kaufman has signed on
as a co-sponsor.
Audrey Friend is at home after suffering a heart attack. She would
appreciate cards: 84 Fifer Lane,, Lexm* gton,, MA 02420.
Interior Design -- The furnishing committee has been meeting regularly. A
selection of chairs were at the meeting for everyone to look at. These were
samples that were being reviewed.
Assistant Director's Rep
ort—Cynthia Johnson reported on attending an
MLN meeting where a vote was taken and passed to change the system to
the Triple I system.
Friends of Cary Memorial Library -- Isabel Jankelson
The Friends are in the process of collaborating with the Museum of Our
National Heritage to put on a film series over the February school vacation.
They are also working on putting on a Book Sale at the Museum of Our
National Heritage. If anyone knows of a book dealer who would help with
the pricing, please notify Isabel.
Publicity will be going out on these two events as they get closer.
The Friends have a new Membership Chair —Pat McPartlin.

Library Construction December/Jan
The project continues to be on budget and change orders are in line with the budget. Weather conditions have
had an impact of the number of trades working on the building.
Wood blocking for door frames in progress. Rebuilt walls at main lobby to support attic floor 90% complete.
Installation of beams and rafters at the front entry in progress.
Alexandra Construction:
A list of activity atthe site;
Subcontractors
Electric: The electrical vault is expected to be returned to the site any day now. After installation NSTAR
expects it will be another month until full power is restored to the building.
HVAC: Installation of main level is progressing.
Metal: Framing of greenhouse windows is in progress.
Maso : Installation of bluestone begun along with rough granite walls on the east elevation.
Plumbinw Installation of roof drains is complete. Work has begun on the main and mezzanine bathrooms.
)of: Installation of asphalt shingles on dormer roofs 75% complete.
tiprinkler: Piping of main and mezzanine levels begun.
Steel: Installation of structural steel is complete. Final inspection is due any day by Boston Building
Consultants.
,Cheviot: Layout and installation of skylight frames 100% complete. Metal windows at the dormers installed
along with windows on Clarke Street.
Tours on the site has been suspended for insurance and OSHA considerations. Construction updates with
pictures can be found on our web site, www.caryl-ibrary.oEq. , and notebooks with the same information are
available at the public service desks.
Interior Design = Lucas/Stefura
Members of the Permanent Building Committee continue to meet with Jane Lucas to review fabric and furniture
selections. Jane is preparing a complete inventory of furnishings, colors, and signage for the committee to
review.
FY2004 Town Budget
Budget Meetings
Selectmen's Meeting - December 17 002
Review of the FY04 proposed budgets and further discussion of the "At Risk" items. No cuts to the library's
proposed budget.
Selectmen's Meeting—January 61 2003
',ie Selectmen cut $22,863 from the library's overtime line item.
Fhe library's request for an increase in the equipment line item is cut $211000.
At Risk Items—the Selectmen cut the 'library's proposed East Branch Library At Risk item from the list.
Library Director's Report January 24, 2003
�Y2004 Town Budget
The library had proposed that the East Lexington Branch Library be placed on the At Risk list. The amount
placed at risk was additional hours. They requested that the main library absorb the $69,409. 1 asked the
Selectmen to let the library decided where the reductions would come from.
Summit Meeting—January 8, 2003
The Selectmen, School Committee, and the financial committees met to discuss the override. There was a
review of the local receipts, a discussion on the possible split for an override, and whether or not the override
would be bundled or unbundled. Rick White described the current financial situation as the Perfect Financial
Storm. No decision made by the Selectmen on the items that would be placed on an override.
Selectmen's Meeting —January 13, 2003
Further discussion and cuts made by the Selectmen to the FY04 proposed budget and a review of the At Risk
items.
Summit Meeting —January 16, 2003
All of the committees met to continue the discussion on the size of the override, compositions and structure.
A motion as made and voted to approve a bundled override of$4.9.
Summit Meeting —January 23, 2003
The committees reviewed the FY2004 budget summary, and the At Risk list for the town and the schools.
The Selectmen and the School Committee agreed to the composition of the override.
Cary Memorial Library Foundation
The financial report from the Foundation is attached. The Foundation did very well in December and
discussions are still going on with a number of key donors. The Cary Memorial Library Capital Campaign will
officially end on March 31, 2003.
