Re: Cary Hall opening
I wanted to let you know that we will not be able to move into Cary Hall in December as planned. The
main library will open at Cary Hall on Tuesday, January 2, 2001. Construction delays at the hall have
prevented the issuance of an elevator certificate and occupancy permits. We do not expect to receive
a full occupancy permit until December 22nd. Even though the general contractor will be substantially
completed the week of December 18 th it would not be safe to have the public or staff in the building
before all the permits have been signed off on by the building inspectors. We will be ready to open
"he doors of Cary Hall on January, 2nd barring any unforeseen problems.
The movers are currently setting up the shelving at Cary Hall in the areas that are available to them
and they will continue to set up each area as the contractor turns the areas over to them. They have
done a wonderful job and have been very understanding in dealing with the delay.
The Executive Committee is scheduled to meet on Wednesday, December 6 at 8:00 in the main
library. I would like to review a number of items with the Executive Committee at this meeting.

The Executive Committee of the Board of Library Trustees has canceled the December Trustees
meeting because of the continuing construction at Cary Hall and the relocation of the main library
collection to Cary Hall. We would like to update you on the developments over the past few weeks.
Construction at Cary Hall has taken longer than expected due to the age of the mechanical systems,
scope of the work to bring the building into compliance with building codes, and the installation of an
elevator. 'These improvements to Cary Hall are substantial and the decision was made to let the
contractor,take a few more weeks to do a thorough job. Next week the building will be inspected by
L-he elevator and building inspectors and if everything is in order an occupancy permit will bE:,':

must be issued.
The positive aspect of the delay is that Cary Hall will have a new electrical system (the original 1925
system has been removed), a new heating system (with appropriate energy saving controls), an air-
conditioning system (the hall can now be used during the summer), and wiring for computer access
throughout the building, elevator access to the lower floor and balcony areas of the hall, and
renovations in a number of areas will provide useful meeting rooms for the town. All of.this remains
after the library leaves.
For the past few weeks the moving company has been packing up all of the collections, dismantling
shelving, and coordinating the relocation of everything at Cary Hall. The move has been delayed a
Couple of weeks because the movers could not get into some areas due to construction. They have
done a terrific job and been working very hard to set up the public areas of Cary Hall. The library
offices were moved to Cary Hall today.
Last week we ran into a problem with the boiler at the branch during the cold weather and it was
closed Monday through Thursday. Staff from the main library have been rotating through the branch,
when they are not working at the main library. The staff has done a tremendous job adjusting to all of,
the upheaval around them, anticipating the needs of patrons at the branch, and communicating the
delays to the public. A letter to the editor will be appearing in the Minuteman thanking everyone in th
community for their patience and understanding during this delay and the lack of heat at the branq-,h.,
Everything should be in place for our Tuesday, January 16, 2001 meeting, that will be held at Cary

The negotiations are going very well.
Construction
The librarv,lias received the "Certificate of Appropriateness" fro m the
I-historic Distric-.Com' mi ssion. The project will now move into the
construction documents phase.
The staff had a-good meeting with PatienceJackson from the Massachusetts
Board of LibraryCo' r_a' missioners reviewing the floor plans.
