HomeMy WebLinkAbout2020-05-06-TCC-min Town Celebrations Committee Meeting Minutes May 6, 2020 Virtual Meeting Members Present Lorain Marquis, Chair; June Baer, Glen Bassett, Suzanne Caton, Kim Coburn, Steve Cole, Wei Ding, Linda Dixon, Mary Hutton, Cerise Jalelian, Paul Jenkins, Sondra Lucente, Bill Mix, Rita Pandey, Geetha Padaki, Sandy Podgorski, Sue Stering Members Not Present Karen Gaughan, Gresh Lattimore, Julie Miller, Wayne Miller, Ashley Rooney, Dave Taylor, Sam Zales Guests Gina Rada, Terry Samaras (Lex Media), Jill Hai (Select Board) Business: • Lorain convened the meeting at 7:03 pm and read the Town notice regarding the conduct of public virtual meetings. • Lorain introduced Terry Samaras from Lex Media who has been assigned to help the committee develop a video presentation for Memorial Day 2020. His contact is terry@lexmedia.org. Memorial Day 2020 (May 25, 2020): • Lorain noted that a draft script for a video production to be created by the TCC for Memorial Day 2020 was distributed previously. The video is intended to replace the usual public parade and wreath laying ceremonies normally held on Memorial Day. • Mary Hutton briefly summarized the script and asked for feedback from the committee. • Several committee members offered to send still pictures to Terry to be used in the production. Linda offered to review all the photos offered by Wei Ding and send a selection to Terry. June Baer noted that she has a large collection of photos of previous years' celebrations that she will also review. Terry requested that all photos be sent to him by May 16. • Lorain noted that there will be one narrator(Paul O'Shaughnessy) and several readers (Gina Rada, Glen Bassett, Gresh Lattimore) of the script who will need to be recorded for the video. Terry suggested that they could send him their own recordings or come to the Lex Media studios for recording. • Kim Coburn reported that she has met with the High School Music Director to discuss music to be used in the video and that they have come up with a list of suggestions. Kim will send the list to Terry and he said that he will download the desired recordings himself. • Jill Hai suggested using existing Lex Media footage of the High School band playing the military service songs. Terry agreed to look into that. • Mary Hutton reported that she has sent a draft of suggestions to the Lexington Public Schools of ways to get student participation in Memorial Day. • Mary also volunteered to speak with George Gamota about including the list of WWII veterans. • Steve Cole suggested asking the Minutemen Captain Commanding to read the introduction to the script, or have a TCC member in Colonial dress to read the intro. • Steve also suggested having the Minuteman representing Reverend Clarke read the usual benediction on the video. • Kim mentioned that she had sent out to the TCC a video from a previous year of the ceremonies at the Old Burying Ground that included the Minutemen firing a volley and taps and echo being played. She suggested that the video clip could be included in this Memorial Day video, especially since it included the taps and echo. • Cerise Jalelian was asked to coordinate/arrange to get pictures or videos of some scouts laying wreaths at some monuments. During discussion, it was decided that the scouts should lay wreaths at 3 different monuments —WWII, Vietnam, and Korea monuments. • Cerise said she would obtain her own wreath for the scouts to use. • A review of committee member assignments was made: o Kim to send list of music for video and video from the Old Burying Ground cemetery to Terry o Linda will review Wei Ding's photos and send them to Terry by 5/16 o June will review photos she has and send them to Terry by 5/16 o Terry will set up a Google drive for storing photos received from TCC o Geetha will work as producer of video with Terry o Mary will work as director of video with Geetha and Terry o June will work on getting necessary permissions to use existing photos o Lorain will contact the Fire Department and Police Department about having them lay their own wreaths and videotaping it for inclusion in the video o Lorain will order 11 wreaths to be placed at the usual monuments (but not as part of the video,just by Memorial Day) • Gina Rada noted that she will be placing the usual flags on the graves of veterans at Westview Cemetery and that she does not need assistance from the committee. • Linda suggested that it would be nice to videotape laying a wreath at Westview Cemetery. • Steve asked for clarification about what TCC expects the Minutemen to do. His questions were: o How many Minutemen in uniform were needed? o Are they supposed to lay a wreath at the monument near Buckman Tavern? If so, who would video tape them? o Were the Minutemen expected to do something at Westview Cemetery? o Is one Minuteman supposed to read General Logan's Order for the video? Who would record/video tape it? o Does the committee want Reverend Clarke to read a benediction? Who would record/video tape it? • Terry suggested doing location shoots for several locations, especially of Glen and Gresh in their uniforms. • Terry and Geetha will set up a schedule for videotaping with dates and locations. • Glen offered to contact Cerise about when the scouts will be laying their wreaths so he can try to be there with them.
