Lots of live broadcasts on April 19 o America250! Support which includes money o CBS Sunday Morning- April 14 with Mo Rocca o Zip Trip -April 18 8:00-10:00 on the Green will flip the calendar for day 25. Jane Hundley and LHS's Kerry Dunne will provide a promo tour with Gene Lavanchy • 4:45 Conventures Team Introductions o Ms. Barry provided an overview of their work to date o Ms. Rhodes spoke to the partnership and their excitement in working with the commission o Ms. Rhodes will provide a run of show for April 19, a production schedule, unanticipated budget items, working with JGPR on credentials o Ms. Rhodes noted that "no detail is too small" and encouraged members to reach out with questions o Mr. Lucent requested a meeting about parking. Ms. Rhodes expanded on different ways that they will provide directions and guidance for this. They have been working closing with Lexington PD o Ms. Barry shared that there is an RFP out for a bus contract o Dr. Cunha asked the availability of Stop and Shop and Walgreens parking lots -not available o Ms. Rhodes is producing a commemorative program as well as a nice lanyard o Went through some of the credentials for various groups -reactors will have peel and stick wristbands, parking permits o When and where to pick up the credentials? -Pick ups on April 17, 3-6 and April 18 8-10 a.m.at Community Center o Mr. Lucente brought up the need for road race credentials for those volunteers o Some discussion about the Reenactment participants and volunteers as well as how to distribute the credentials o The reenactors will have friends and family areas • 5:05-5:45 Event Updates o April 17 ■ Press Conference-Lex250 Kick Off of April 17-22, 2025 events • 3 key speakers with a 45 minute time limit • In front of the statue ■ Ken Burns • 11:00 press meeting at Cary • Ticketing -lottery for tickets. Ms. Barry noted that we are working with Concord to sort this system out • It is important to remind townspeople that this is WGBH's event and we are hosting • Not being streamed or recorded per WGBH • Mr. Lucent noted that we will need ushers and we should sort this out ■ VO250 Event • Flash Mob outside of Cary Hall at 5:15 • Doors open at 6:30 • Starts at 7:00 • Rachel Dratch is the MC • Lexington Youth Commission is inviting past recipients o April 18 -See notes above in Conventures section o April 19 -See notes above in Conventures section o April 21 ■ Patriotic Picnic in the Park -Hastings Park ■ Mr. Lucente provided an overview. Tents, National Lancers, music, food, beer garden, Minutemen, Malin (David Moore), BSO ■ Being sponsored by two Lexington donors ■ Family friendly • 5:45 Volunteers -Ms. Melanie Lin o About 110 folks have signed up thus far o Under the age of 18 -we need waivers signed o Needs to know how many volunteers are needed for each event o Some discussion about collaboration with Historical Society- • Volunteer Training -Ms. Cerise Jalelian talked about Parade training on April 4 and 5. We will have a volunteer training meeting offline as this might be expanded upon o Other: Cpt. M. provided some description about Harwell Ave parking o Mr. John Rossi asked about accessibility (ADA) for parking and bus capability o JGPR-The transit and ADA information will be in the next posting o Ms. Julie O'Leary noted that Hanscom could be a good place to source volunteers • 5:55 Housekeeping o MEMA Training 3/15/25 ■ 9-12 and 2-5 at LexPD Community Room o Approve 2/12/25 Minutes ■ Approved by roll call vote o Future Meetings: 3/26/25, 4/2/25, 4/9/25 ■ Might be small groups depending on needs o Decore-Ms. Bebe Fallick ■ Is making bows and she is wondering where to put them ■ Banners will be handing from the posts ■ Decore in Cary Hall such as at the end of aisles of Cary Hall would be the best per Ms. Dusty Rhodes ■ Mr. Noah Michelson will coordinate with businesses ■ Brookhaven residents, LABBB students are possible ways to produce the decorations ■ Ms. Lin will help coordinate the volunteers A motion to adjourn was made and approved by a roll call vote at 6:07 p.m. Next meeting: March 26, 2025 4:30-6:00 p.m. Respectfully Submitted, Jane Hundley
