Door-hanger Subgroup Meeting Minutes
10/22/25
1. Meeting began at 12:15pm. Present were Nancy Sofen, Gavin Grant, Rachel
Summers and Barbara Tarrh. Meeting held via Zoom.
2. Review of concept: prior support for the idea of promoting the Town's Setback Tree
Program via the use of a door-hanger advertisement was indicated 3-4 months ago
by the Tree Committee, with input from Joe Pato, Tree Committee liaison.
3. Definition of purpose: Creation of door-hanger will give both TC members and
Forestry a flexible tool to identify potential sites for seasonal planting of setback
trees.
4. Discussion of text and other graphic content. Agreement to keep focus broad.
Topics included `landing spot'for QR code, specific web destination for contact
information, program description, definitions of`setback'and `street trees.
Decisions included using existing Tree Committee webpage, making main heading
more enticing by emphasizing`free'and `front yard', adding the Lexington Town Seal,
and leaving the back blank for potential personalization. The group decided to use a
photograph of a recently planted tree on the Battle Green as a visual.
5. Follow-up tasks:
a. Locate and share QR code for TC setback planting webpage, Town seal

b. Make text changes to Canva document and send to subgroup members for
confirmation. (Barbara)
c. Get quote from Wales Copy for various quantities, for one- or two-color
printing, and ask for recommendations of stock to use; forward to subgroup.

d. Forward final version to Chris, Joel and Dave for their comments/approval.

e. Report to Tree Committee at November meeting. (Subgroup)
