Meeting Attendees:Members—Archana Singhal (Vice Chair), Francesca Pfrommer,Ling Yang, Alessandro Alessandrini, Mehr Khurana(Youth Commission) Ex-Officio Member Attendees:Christine Dean(Community Center Director),Thomas Romano(Youth& Family Program Coordinator), Sue Rockwell (Historical Society) Unable to attend: Melissa Battite (Director of Recreation&Community Programs),Nancy Shepard (Chair), Doug Lucente(Board of Selectman) The meeting was called to order at 7:07 p.m. 1. Minutes of November 8,2018 The minutes from the November 8 meeting were reviewed and accepted unanimously. 2. Citize ns and Othe r B oards Sue Rockwell from the Historical society had no updates. Francesca Pfrommer,provided updates from the Recreation Committee: The center track project has had 3 public meetings so far and there will be another one on December 19.It has been decided that there will be 6 lanes with an 8 lane straightaway. Some smaller trees will be planted around the area and they are planning to break ground in June. The Inter Municipal Agreement is still in progress between Lexington and Minuteman Tech. Alessandro Alessandrini mentioned that if everything goes well they plan to start in 2020. Francesca added that they are urging user groups share how the fields would benefit them. It is proposed that the Lexington youth groups will be able to use the fields on weeknights during the fall and spring after 6pm. www.lexinRtonma.gov/recreation recdeRt@ I exi nEto-nm a.2ov 39 MARRETT ROAD, LEXINGTON, MA 02421 Alessandro shared some updates from the School Committee: the Middle School start time will remain the same but students will dismiss 10 minutes earlier; the elementary start time will be 9am; the High School start time will be at 8:30am. Mehr Khurana shared some updates from Youth Commission: Myles Cutler is interested in organizing a spike ball tournament at the Community Center. The group just finished the turkey drive and their next group event will be sorting items for Cradles to Crayons. 3. CPR Memorial Program Christine Dean has reached out to Economic Development to ask them how they went about having Unipay on their website for Visitor Center Donations. Once she hears back from Economic Development one their process,we will have a better idea about who we need to seek approval from to start taking donations for the fund. Francesca is going to reach out to Barbara Palant to make sure if it would be okay to ask Lexington Pediatric to help with advertising the fund. Archana suggested that we come up with advertising so when this is ready to roll out the program we will have a visually appealing way to promote. Tom Romano and Mehr will work on a draft to show at the next meeting. 4. Community Center Donation Policy Christine is working on a page for the town website that would direct people where to donate their unwanted goods. It was agreed that it is better for people to donate the actual item rather than paying for a portion of it. Archana suggested having a number next to the item so people know how many items are needed. 5. Building Use for Paid Services Christine reported to the group that the drop-in spaces are having more and more tutors and personal trainers utilizing them. She asked for advice on how to handle this. The current policy states that the Center is "not available for use/rent for commercial purposes, including solicitation or development of business, or for profit." Archana asked what we would charge for the use and Christine said based on room rental fee chart it would be $25/hr. Archana suggested monitoring how often tutors and personal trainers come in in order to compile a couple months of data. That information could be used to come up with a fair fee structure. Francesca felt that we should not explicitly state the purpose because in essence that is acknowledging that they can break the rules. Archana suggested we have people fill out why they are using the drop in space,if they are charging a fee,as well as their name.We should also make sure everyone is at least a member in the building so we have a record. Francesca also brought up that it would be a good idea to charge the tutor a small fee so then it would not drive them away as we want tutors meeting with students in public spaces. Francesca also mentioned that we could add"No commercial Use"on the drop-in rooms signs to try and deter use. 6. Community Center,Recreation and Human Services Updates Christine reported on behalf of Human Services that Charlotte Rogers has officially retired and Melissa Interess is the Interim Director until the position is posted and filled. Christine shared that we are still looking to add more Lexington-based vendors to the Open House on January 26, 2019. On March 2nd SEPAC& SEPTA is holding their resource fair at the Community Center.Recreation is in the final rounds of filling the Recreation Supervisor position. They are also in the first round of interviews for the Administrative Assistant of Finance position. Thomas Romano reported that Family Bingo on December 7th had 8 families participate. The middle school trip to Boda Borg went well with 75 kids in attendance. The Early Release Launch Trampoline trip on December 14'has 54 children registered.The December break Chess and Martial Arts classes are filling up. A food drive took place at the Community Center through Dec 10. Satya,the therapy dog, will be back to the Community Center on December 15. The Open House will be on January 26 from 10am-2pm. The next meeting of the Community Center Program Advisory Committee is scheduled to take place on Thursday,January 10,2018 at 7:OOpm at the Lexington Community Center.
