Meeting Attendees: Members—Nancy Shepard(Chair), Sandra Shaw, Francesca Pfrommer, Ling Yang Ex-Officio Member Attendees: Christine Dean(Community Center Director), Thomas Romano (Youth& Family Program Coordinator), Doug Lucente (Board of Selectman) Unable to attend: Melissa Battite (Director of Recreation& Community Programs), Charlotte Rodgers (Human Services Director),Archana Singhal, Alessandro Alessandrini The meeting was called to order at 7:11 p.m. 1. Minutes of October 11,2018 The minutes from the October 11 meeting were reviewed and accepted unanimously. 2. Citizens and Other Boards No citizens or other boards were in attendance. 3. CPR Memorial Program—update Nancy Shepard reported that she spoke to Barbara Palant about the community CPR program and Barbara thought the idea was wonderful. She gave the group the go ahead to move forward with planning.Nancy also mentioned that once we figure out the fundraising goal, Barbara would like to help fund some of the money that needs to be raised. Nancy and Archana reported on Go-Fund Me fundraising as an option to raise money in a crowd funding format. After further discussion of the gift fund the group decided that go-fund me is not the best option. www.lexinLtonma.Rov/recreatio n recdept@lexintonma.gov 39 MARRETT ROAD,LEXINGTON,MA 02421 Christine Dean suggested that potentially all Lexington Employees could be trained if the instructor had the time available. The suggested amount that would need to be raised for supplies and materials is $2,500, then another$2,500 would cover instructor and class costs for 8 classes over the course of a year. The group feels that$10,000 is a good number for the class to run for three years or 24 classes. Sandra was in favor of naming the fund the Dr. Daniel Palant Memorial CPR Training Fund. Francesca suggested that in order to make the class sustainable, the funds should be used for instructor and material costs only. People could choose to pay separately for the certification if they need it.Nancy agreed with this idea and also thought it would also be good to charge $25 for the course as they normally go for$80-$125. Nancy asked if the group thought the Pediatric society where Dan worked would send out an email and/or possibly help fund a portion of the money being asked. The group supported this idea and Francesca suggested that it would be appropriate for Barbara to inquire with Lexington Pediatric. If Barbara is not comfortable doing so, Francesca offered to reach out. Christine brought up the Community Center Gift Fund and said we could treat the fundraising program as an activity. People could pay for it online and then that money would be transferred into the gift fund itself. Doug Lucente expressed concern about soliciting donations from the community because we are a municipality;he said that there are some exceptions but he is unsure about the specifics. Doug suggested that Christine ask Jim Malloy how to go about fundraising in the public format. Sandra offered to write a letter to Jim Shaw of the Colonial Times about Dan's CPR mission and the goal of the fund. Doug is in favor of this idea and proposes that a picture be included. 4. Community Center Donation Policy—Review Draft The draft is currently still be worked on and Christine will be sending it out to the group soon and everyone can respond to Christine separately. 5. Potential Partnership for SEPAC/SEPTA Resource Fair Christine attended the SEPAC/SEPTA (Special Education Parent Advisory Council and Special Education Parent Teacher Association) Resource Fair last April and thought that it was a wonderful opportunity for residents to gain access to materials and services. This year the Fair will take place at the Community Center on March 2nd. The group reached out recently and asked if they could charge the vendors and use those funds to raise money for SEPAC. Christine reminded the group that the Community Center is not charging SEPAC anything for use of the building. Sandra Shaw stated that according to current policy, the Community Center cannot be used for fundraising. The question was posed if we could partner and a portion of the money raised would go towards Community Center adaptive programming. Francesca's impression was that if it wasjust to cover the cost of the fair then ethically it sounds fine,but if they were to use the money to raise other funds then it runs a fine line ethically and legally. Christine referenced the policy for the Community Center and it states that groups cannot fundraise unless otherwise noted by the director.Nancy mentioned that if we let them charge, other groups might ask for the same thing. Francesca is curious what the fee is for the vendors attending the fair.Ultimately,the group agrees that if they are using the money to run the event then they feel it is justifiable to charge the vendors. The group also feels that this would be a great connection for the Community Center. Christine will follow up with SEPAC to see if they are looking to just recoup their costs or raise additional funds. 6. Cotton Farm Revitalization Project There have been three public meetings led by Conservation looking for feedback on parking renovations to make the lot accessible, as well as the addition of a viewing platform. A future goal is to link the existing trails to the Community Center. Christine discussed with Jordan McCarron from Conservation potential grant opportunities to incorporate health and fitness programming into the trail. The group thinks this is a great revitalization project and is looking forward to the start. 7. Community Center,Recreation and Human Services Updates There are no updates from Human Services as Charlotte Rodgers was presenting at Citizens Academy. Christine reported updates on the FY20 capital projects including athletic field improvements, the addition of new lights,resurfacing of tennis courts, and the Old Res bathhouse renovation. The next public meeting for the center track is November 28th at 6:30 at the Community Center. The goal is to send the project out to bid as soon as possible with construction starting in June. The previous two public meetings were well attended by stakeholders but not many citizens.Nancy mentioned that the meetings should be posted online so more citizens will attend. Christine also reported that the Community Center will be adding another curb cutout for the LexPress bus stop so it can be easily accessible for anyone loading or unloading. The same company will also be replacing a portion of the bluestone pathway with concrete pads to allow for easier transition from the sidewalk. Christine then mentioned that a LHS craft club called Crafts for Love comes to the Community Center to hang their hand-made seasonal crafts around the building. Christine believes that the Community Center could use the group's talents in a more constructive way.Nancy suggested that they lead an intergenerational craft group for residents around the holidays. Francesca said that they could make cards for people who are in the hospital over the holidays. Doug also mentioned that LABBB is holding a craft fair on December 1st in LHS Cafe. Thomas Romano reported that the November 6'Morning of Fun was attended by 14 kids ages 5-7. The children participated in Martial Arts, RAD for Kids,Ukulele lessons, card- making for veterans, and free time. The 2nd annual Haunted House was a huge hit with 295 people registered for the event,plus the parents or adults that brought them. The LHS SADD club bake sale sold out and all the pumpkins were decorated and taken home by participants. There were around 30 SADD club volunteers who were actors in the Haunted House, tour guides, craft supervisors, and helped make the Haunted House a success. Tom also relayed that the CPR class on November 10'and 17'has four people signed up. Archery Tag for High Schoolers is a new offering planned for March 21st. The Department is also trying a new spin on FRESH(Friday, Recreation & Social Hangout) allowing middle schoolers to get picked up from their school and go for an offsite activity, such as laser tag,before coming back to the Community Center for free time. Another change in the future is to offer Family Fun Days on Saturdays to try and boost registration numbers. The next meeting of the Community Center Program Advisory Committee is scheduled to take place on Thursday, December 13,2018 at 7:OOpm at the Lexington Community Center.
