Meeting Attendees:Members-Nancy Adler,Alessandro Alessandrini,John Zhu,Lisah Rhodes,Nancy Shepard(Chair) Ex-Officio Member Attendees: Christine Dean (Community Center Director) Charlotte Rodgers (Director of Human Services), Thomas Romano (Youth and Family Program Coordinator), Susan Rockwell (Historical) Unable to attend: Daniel Palant,Archana Singhal,Doug Lucente(Board of Selectman)Melissa Battite (Director of Recreation& Community Programs) The meeting was called to order at 7:06pm. 1. Minutes of April 12, 2018 The minutes from the April 12`" meeting were reviewed and unanimously accepted. 2. Citizens and Other Boards There were no citizens or other boards present at this meeting. 3. Expansion—Next Steps • Ms. Rhodes shared highlights of her conversation with Charles Lamb of the Capital Expenditures Committee. He wanted to express that it is not that the Committee did not like the idea of expansion,but that they wanted to see more sequencing and how it would tit in the capital plan in the future. Charles offered to share a document electronically of why the expansion was not approved by the CEC. • If the CCPAC would like the Article to come back for the Special Town Meeting in the fall, it will be important to take the necessary steps: • Attend the Summit Meeting on June 14th where the Recreation Committee will have a seat at the table • Sit in on the School Committee Board meetings • Attend the next CEC meeting on May 16th • Ms. Rhodes mentioned that the entire recipe has to be written out before the feasibility study is brought up again, including how to keep the momentum running, who will keep it running,how the expansion will be used, compile evidence illustrating need, etc.) • Meet with the CEC and for their input on the property, also figure out what kind of a timeline they support so we can give them a more accurate representation. • Consider the need and desire for a teen center option • Identify those who voted for the study and see how those people could be used to advocate. • The question is posed as to how the Carriage House would fit into the Master Plan • Ms. Rodgers mentioned that the initial cost to renovate the Carriage House would be prohibitive due to system upgrades and ADA compliance • Ms. Rockwell relays that the Historical Committee is more concerned about the outside of the building and that a majority of the inside could be redone without affecting the historical significance. • Potential use of the Carriage House would be incorporated into the feasibility study 4. Goal Setting • The Charge for the Committee was reviewed there is agreement that it still applies. The group will continue to meet on the second Thursday of the month at the Community Center. In the upcoming year it will be important to continue to work close with the Recreation Committee to put forth a new expansion article before either Special or Annual Town Meeting. • Upon review of the goals for 18/19 (see attached), it is agreed that all the bullet points are still relevant • In addition, it will be important to coordinate opportunities with Lexington Children's Place to expand programs at the Pelham property as well as increase awareness of the Community Center and advocate for expanded programming that meets the needs for residents of all ages and abilities. • The following project goals were suggested: • Expansion planning and financial forecasting • Outdoor programming: additional seating, garden beds, eagle scout bocce court • Exploring alternate funding for programming: public private partnership, grants • Creation of a Friends of the Community Center • Creation of a grant writing position? • Ms. Shepard will complete the goals form, due back by June 1st, and send it to Christine for review. It will then go out to the committee for feedback. 5. Community Center Director Updates • Christine Dean reports on behalf of Recreation and Community Programs: o Open up summer registration date, very successful, most of summer camps and clinics have already opened up. o New programs have been added and we have found additional instructors to take over the classes that normally stop over the summer. o An Archery program for ages 60+was offered and 18 people attended the free demo, after which 8 people registered for the 4-class session. o The Arbor Day Celebration on April 27"'had a great turnout. Three new trees added to the property to commemorate the I I people that passed away from the Lexington Field and Garden Club; dog wood, shag bark maple, and an elm. We would love to see it happen at the Community Center again next year. 0 10 members from the Garden Club did some additional grooming of the CC grounds. The garden club has formed an agreement with DPW to assist alongside the landscaping group, providing skilled pruning, and planting and garden bed design. o Recreation and Community Programs received grant funding from the Dana Home Foundation for the Forever Fit program again this year. $5000 has been dedicated to senior financial assistance. o We are finishing up CEL grant and actively looking to hire someone for CPR training. Interviews have been set for next week. o The Bike Smart program is scheduled for this Saturday if it does not rain. 24 kids, ages 9-11, will participate in the program sponsored by bike committee and the Police Department from 2-4pm. There will also be a bike maintenance workshop in the dining room that day. o The Kimball Farm middle school early release trip is full with 40 participants from Clarke and Diamond o There will be a Family Trivia Night offered on May 18th o Kids Test Kitchen, Martial Arts, Chess, Fencing, Women's Boxing, and Situational Awareness for Adults are among the current spring offerings. o The End of the Summer Party is scheduled for August 17t1i Sponsorship opportunities are available. o The Pool Grand Re-opening celebration will take place on June 16". Charlotte Rodgers reports on behalf of Human Services: o Tony Serio has been hired as the new Youth &Family Clinical Social Worker. o Tony will collaborate with Recreation to facilitate the financial assistance provided by the Fund for Lexington as well as the Human Services fund. The donated amount was raised from $10,000 to $15,000 this year. The priority is that no family will go without a swim pass if need is demonstrated. Tony is off and running, already seeing many families each day. o A Mental Health Summit is scheduled for May 23rd o The current OWLL Russia course has 90 people registered o Saturday OWLL courses will take place in the near future The next meeting of the Community Center Program Advisory Committee is scheduled to take place on Thursday,June 14, 2018 at 7:OOpm in Room 237 of the Lexington Community Center.
