DPF updated the PBC on Bid results for the Interim Fire Station. $ GC bids were received, $1,690,000; $1,793,100; $1,860,000; and $1,985.00 to $1,985,000. The low bid is over the estimate by $42,000 but the team believes there is enough flexibility on the overall budget to move forward. The HVAC Filed sub bid was well below estimate however the architect will review the scope with the bidder and the make sure the bidder is confident that his bid is good to go. DPF advised that GC references are being checked and presuming they are positive would like the PBC recommendation on award. Motion to approve the award of the Interim Fire Station Construction to United Builders, the low bid, subject to the further review and confirmation of the HVAC bid and GC references. Motion made, seconded and approved with no objections. Post meeting note; the HVAC bidder and architect did review scope and HVAC bidder is standing by his bid, Likewise the GC reference check came back with excellent references. 2. DPF reviewed a slide presentation showing a few brief updates to the overall fire station design that have come from working group meetings with the Fire Chief and Adjunct Fire PBC Members. Noted items discussed were: Brick lines and patterns, Reduction in pre-cast surrounds, museum entrance Arch shapes of entry's and overhead doors, eyebrow dormer vs shed dormer vs no dormer, adding lettering to the frieze over the training room, elevating the roof over the main entry and the overall layout of the front entry patio and memorial. Fire Station Building design next step is to go back to the Historic District Commission for formal review. 201 BEDFORD STREET 9 LEXINGTON, MASSACHUSETTS 02420 I DPF Director identified the projects that were going to be discussed at Annual Town Meeting, with minor discussion. • Lexington Children's Place will be seeking the balance of Construction Funds for the project. • Lexington Fire HQ will be seeking the Construction funds for the project as approved previously at the fall town debt exclusion referendum. • Police will be seeking funding through Construction Documents • Visitors Center will be seeking funding thru construction. 4. PBC Chair shared with a brief update on the ongoing development of the Sustainability policy which has been ongoing for years working off of the 2005 LEED Silver policy. The previous DPF director had been working on drafts of the revised policy with Sustainable Lexington and other stake holders for a while implementing energy efficiency items, building resiliency and energy generation. Currently a new format is being developed which contains a more concise policy document which will have several supporting documents that provide guidance and procedure to assist in meeting the policy Motion to adjourn was made and seconded: Meeting adjourned at 7:45pm.
