HomeMy WebLinkAbout2025-01-21-TREE-min Lexington Tree Committee Minutes 1.21.25 1. Meeting began at 12:05—Subgroup re: 250 tree giveaway. 2. Those present were TC members Nancy Sofen, Gavin Grant, Rachel Summers, Pat Moyer and Barbara Tarrh. Also present: Lexington Director of Communications Jonas Miller and Hannah Sammut, of JGPR, the firm doing PR and communication for the Lex250 committee. Their email is lex250@JGPR.net 3. Committee members approved minutes of 1.7.25 4. Discussion of publicity:What goes on Town/TC website? Reviewed "landing page" proposed by Nancy that will include brief info and links for a) species offered; b) items to be supplied; c) planting/care; d) how to sign up; e)why to plant trees; f) more about Lex250, along with FAQ and TC contact info. Details of links to be developed.Word document including photos, actual dates to be sent Jonas who will determine how/where to post on Town website.Will also send him pdf of planting instructions. 5. Concerns about public enthusiasm for giveaway trees were countered by Jonas' assertion of the breadth of Town's 7-8 social media and other outlets. He feels we will have no trouble with signups. 6. Discussion of signup sheet using Jotform. Jonas will need bulleted list of info we need (species selection; email address; check box for"Are you authorized to plant a tree at your address?"; "Contact TC w/additional inquiries or suggestions".What else??) Pat will forward after we weigh in via a Google doc. Jonas will need 2 weeks' lead time for landing page first, and then form. Target"live"date is Feb 15. 7. Hannah will coordinate w Lex 250 committee and website when our information becomes"live. " Communication is with JGPR and cc: Hannah. JGPR contact is: te)(2 50@J�,PI FI.ne . Hannah's is hannah@JGPR.net. 8. Extended discussion of landing page details. -Need additional species photos (to Pat). She and Rachel will flesh out spcs info. -Pat will solicit Dave for$for ID tags and sapling protection $ (Barbara to specify). -We also need to get mulch from Dave. -Can we get HS students to show up to cut fencing and fill bags w mulch? -`How to sign up' link needs an email response with instructions for pickup @ DPW. -May 311 and 10t" are tentative dates; 8:00-11:00 am are tentative pickup times. 9. Discussion of best way to develop tree planting diagram. Rachel to clear use of Arbor Day Foundation website graphics, create chart. General agreement on including directions for`muddying'approach. 10. Nancy has drafted an information sheet to be distributed with each tree. We will attempt to have a different sheet for each species. 11. Pat will review interest from Fiske Common Condo Association with their rep. Will keep open the possibility of multiple trees, pending eventual public response. 12. Landing page, supporting documents, information sheet, bullet list for signup form, etc, to be reviewed at next subgroup meeting, scheduled for January 28 at 12:00pm.
