MEETING OF FEBRUARY 10, 1998

Skip Hayward, Chairman called the meeting to order at 7 05 p m
CHAIRMAN.
-We are putting together the invitation list for the event at Munroe
Tavern after Battle Road ' 98 on Saturday, April 18, 1998 Invitations
should go out in the beginning of March.
-We will have a booth at Discovery Day in Lexington on Sat 5/23/98 . It
will be between the Lexington Historical Society and the Lexington
MinuteMen There will be no charge for the booth Handouts (bookmark and
a tri-fold) are being worked on by Rob and Jim
-Rob will get information to the Lexington Shopper for Battle Road ' 98
times .
-Skip will put up the pictures and posters used at the Press Conference
for the reception at the Munroe Tavern Representatives from both the
American and British sides will be there as well
-We will need to contact Hayden to see if the lower field (the one with
the brick structure) on Worthen Road can be used for the Headquarters
for the British
VICE-CHAIRMAN
-Jim will write the invitation letter for the April event at Munroe
Taverns and get it to Skip for approval Suzie will mail out the
letters
-Jim has been working with Steve Hayden on the Web page It is coming
along
-The May fundraising event has been scheduled for May 13, 1998 from 6 -
8 p m at the Hartwell House in Lexington for 50-75 people Spouses of
Commission members are invited The event will take place on the back
patio Larry Tropeano of The Hartwell House has given us a good price

-George handed out a list of suppliers and prices for the items needed
for the encampment
EVENTS COORDINATOR
-Pat brought up the issue of a possible commemorative coin or
paperweight as a potential money maker It was decided for now that the
Commission would not pursue the matter
-Pat received a request from the DAR for inclusion in the rededication
ceremonies for the Battle Green on Sunday, April 16, 2000. The motion
passed unanimously
-The rededication ceremony for the Battle Green was discussed briefly
It was deceided to get together with the Lexington Minutemen and put
together a map/sketch of where the groups will be placed on the green
for the ceremonies
PUBLICITY
-Rob is working on the bookmark to be given out at Discovery Day in May
1998
-Rob will work on getting more contact names for the April event at
Munroe Tavern
MEETING WITH RECREATION DEPARTMENT (Karen Simmons)
-Particulars regarding the use of the field were discussed(use of grates
so as not to damage the grass too much, no vehicles will be allowed on
grass, cleaning of the field after use and reseeding the field) Karen
will provide more information on cost to reseed and potential overtime
costs for cleaning/reseeding
-There was significant discussion about the availability of water at
Lincoln Field and would it be drinkable Karen will research and advise
-Karen has a vendor she uses for Port-a-potties that may be able to give
us a good price
-Participants will be shuttled to Lincoln from the Base where they will
park
-Skip, Karen and Jim Corbitt of the British will try to meet in April
1998 and walk Lincoln Field
-There is the potential for up to 12 horses to be coming to the
encampment . Question over where to board them will need to be answered
-Karen will speak to the Town Manager to see in which budget for 2000
will the issue of labor be addressed (Recreation Dept or Commission)
MEETING WITH CLAUDIO TRACANA-SPIDER WEB DESIGN(Banner Guy)
-Claudio showed examples of the many banners he has designed and
discussed the pros and cons of nylon fabric vs "sunbrella" fabric As
well as the cost and look of stiched on letters and designs vs using
silk screen
-There is a significant start up cost to the banners since the hardware
to attach them to the poles is an initial cost ($53/per set up)
Installation can run $45/hour There was some discussion over the
possibility of DPW doing the installation.
-There was discussion over the possibility of sponsors for each banner
and how to put the sponsors name on the banner

-There was discussion over the possibility of running a contest for the
design of the banner as a means of involving the youth in the project
and generating awareness of the events
-There was discussion over the possibility of auctioning the banners
after they are done being used
-1 color banner $64/each for #200
-2 color banner $75/each for 4200
-2 color banner $85/each for 450
-Claudio charges a $500 00 design fee
-We will need to go before HDC for approval before the banner process
can begin.
-We will also need to identify where the banners will be placed ( all
along Mass Ave? Key intersections? etc)
-We will also need to determine if any additional approval is needed to
place the banners on the poles (the banners can act like masts in a
strong wind) and who would be liable in the event of a problem
