HomeMy WebLinkAbout1999-06-16-Y2K-min.pdf Y2K Meeting Notes June 16, 1999 Member present: Steve Corr,Connie Rawson,Cynthia Johnson, Bill Hadley, Art Flavin, Joe Marino, Steve Ellis, Beth Anne Sobieszczyk Reports: 1 Connie and Steve Ellis went to Newton to check out there MIS department.While there, they inquired about Y2K. Newton is very focused on Contingency Planning. 9/9/1999 they will have a simulation exercise. 2. Steve Corr reported that he found someone to test the Motorola system. It looks like it is going to be the original 911 system vendor He wants a contingency plan m place before he tests. SubTeam Updates Contingency Planning Beth Anne will send an email to all SMT member asking them to send a file attachment along with the contact(person who wrote the plan)to Steve Con The Contingency Planning Subteam will be responsible for synthesizing all plans into one consistent, non- overlapping plan. Vendor Management Priority ones and twos have been sent second letters. Two weeks until the next deadline. Departments have to know that it is there responsibility to send letters for priorities 3-5, or that they need to write a letter stating that they see no problem if their 3-5 vendors fail them. All the letters they are receiving say nothing of great significance, that's why contingency plans are so important. Awareness Working on the July Press Release with a focus on preparedness. More information will be released come Sept on Oct on this topic Testing MIS is testing the servers tonight. A few haven't received service-release testing. Connie is looking for a volunteer to chair the embedded systems team. The team is wondering what a community like Lexington should be doing. We need something to benchmark our activities against. We really need to bank our efforts on contingency plans. We need to determine the functions of the system pieces and then review what may be affected, and develop plans form there The Alpha server needs mapping. Consultants We want someone to set benchmarks for us, take a second look to make sure that we're moving in the right direction. Departments should continue to look for individual consultants to test their equipment. Joe Marino proposed forming a SubTeam to hire the consultant. He had an idea of about 2 people from this team and 2 other who know more about hiring consultants. Steve is writing something for us to include in a proposal to them that asks for seemless interation with Department contingency plans. Logical Team make-up include Peter Torode, Karen Simmons and Ray (and not just because they're not here) Review People fele that hiring a consultant will boost their confidence in the process and their actions and only then can we make real headway There was discussion of not holding regular meetings but the Team agreed that it's good to continue meeting every couple of weeks to share ideas, etc Everyone agreed that we need to focus on contingency planning standards. Joe brought up the idea of having rotating chairs/facilitators for the main Team. Everyone agreed that Karen is doing a great job and should continue in the leader role Inventory Note: Karen and Rick's vehicles are not on the inventory Maintained by the police, need a space on the inventory
