MINUTES: of the meeting of Harch 11, 1976. Vice-chmn. Guaghan rill assist Mr. Brenchick in masking arrangements for service help and additional re- freshments at the post-parade reception. Nr. Fitzgerald hes made come catering arrangements. CORRSEPONDEMCE: Mrs, Litchfield reported that she had received the following letters or calls: Prom 24aoor Rhodea at Nanscom APB, who will be sending a list of the general officers to be considered for reviewing stand invitations as well as the names of the varioue unit and group commanding officers. Prom the commanding officer at Pt. Devens who declined our invitation to send a unit to march in the parade since there have been many too many invitations for all to be accepted. Prom Boston Gas Company - a letter regarding a float which features a replica of the BEAVE2 and is a reminder of the Boston Tea Party. The TOO asked Nee. Litchfield to forward this letter to Kr. Brencl6Ack for follow up. If the float doeo not enter the -prize competition, and if all lettering, signs, etc. confirm to Lemington°n float regulations, the TOO would welcome this entry. Prom Town Manager O'Connell - who will join the TOO (along with a repre- eentative of the DPW) on March 25 to talk with the TCC and the Menuto Men re- garding final Reenactment plasm and such other arrangements as may be necessary for other times during the day. Prom Mrs. Rowena Fobinaon who has indicated that the Commissioners Staff, Battleroad District, Boy Seoute of America would like to march in the oorning oarado. CBE= LIST: The TCC reviewed all arrangements by use of the traditional cher lint and any areas not already assigned and underway were assigned to various coomettee members. Some decisions are still pending: notably, the question of guest favors, shuttle bus arrangements, luncheon seating and hosting aesignments. Later in the evening, Major Rhodes said that he would inform the TCC members responsible for seating arrangemente of the requiremente of military protocol in - valved. PARTICIPANTS. Hr. Fitzgerald has spoken with Fire Chief Harebell regarding apearcelce e ohiefe and apparatus from contiguous mutual aid towns. I' was ageoed that the TCO would return to the former practice of making a small allowance for booting expanses for the chiefs of these communities, should they wish to come. Vice-Chmn. Gaughan reported that the Lexington VFW now planned to sponsor entry of at least 25 flag-bearers from Vermont. Theee mon will be planning to arrive in their own cars; it was agreed that a fee which would normally be used to hire a bus for such a unit could be forwarded to the VFW to cover expenses of feeding this group before step-off time. The men carry replicas of all the American flags ever used, save one, the Bedford Flag. Na.. Flynn gave a progress report on all units invited and, with Chief Marshal Rooney, on responses received. Goon and Cclqors of the Loring - ton Minute men and by Major Rhodes of Hanmcom APB who had been a diner guest of that organisation for the evening in a discussion of all aspects of participation by Hanscom in the Lazingtoa celebration. The PA system may be used for the Reenactment and then remain throughout the day; there will be operators from Hanscom in attendance. Mr. Grossimon also reported that Police Chief Corr had asked that those colonial units furnishing piokolm have the men assembled for a briefing re- garding their duties, etc. prir to the time they tate their placeon the Green; the TCC suggested that cone arrangements regarding both protection ead use of the reviewing stand be worked out; this could serve as an area for both press representatives and any honored guests of the Town. OTHER MILUARY PARTICIPATIOH: Major Rhodes also noted that the only military band left in the general area is stationed at Maguire AM, although than may be a musical unit at Otis. He will inquire as to possible parade part4.cipatioa by a military musical unit, but offered little hone that such a unit would be available. The TOC also mentioned that Lexingto* would be planning a celebration on July 4, 19W and inquired of Najor Rhodes what, if any, rarticipation might be requested from Hanscom, in light of last *Aloe letter stating that one appearance per yoar per community would be the general rule henceforth. The or sial that this day has been assigned to Lincoln, however, Hanscom could probably Provide sone represantation, perhaps a color guard. The full marching unit and color guard coming to Lexington on Patriots Day is the annual assignment for us from H,MBre021. BUSSZS: There was discussion of shuttle bus arrangements for the late morning and early afternoon; riders allowed, routes to be taken, busses needed, etc. r. itzgerald will Investigate prices and availability of busses and drivers before Narch 25. The TCC agreed, however, that no bus service would be provided following the Reenactment before the Adams Och064. - morning parade step-off; it will be necessary for marchers to make their own arrangesents to get to the assembly area. NISOLLANEMS: Other traffic and tranm9ortation arrangements, as noted on copies of the requests and requirements prepared for the police department wore briefly reviewed. girs. Mitcholl gave two packages of IC-TCC pink parking passes to the Chief Hershal for cine by incoming units; additional pink cards were retained for TOC use if needed.
