November 30, 2017: Meeting Minutes

Approval of 10/17 Minutes: Approved.
Principal's Report:
• Cookie Dough Fundraiser:
o Successful for all three grades. Sixth grade had the largest profit, Eighth grade
about the same amount as last year.
o Will need to use all of eighth grade funds collected so far to offer financial
assistance to families.
o A few more fundraisers will be running this year for specific grades.
• Traffic Update:
o The front loop for buses was not working because of safety concerns. The
Traffic Safety Group came up with a recommendation to change the traffic
pattern to cars in the loop. Also, changed the passing situation because of an
accident earlier this year. This new pattern caused a backup all the way to the
rotary.
o Starting today, parents will not be allowed to come up to front to do pickups until
after 3 PM on the Hancock side. Jen sent an email to families yesterday.
o Will need to add/change signs once the permanent plan has been worked out.
• Parking Issues still a concern:
o Currently we have 149 regular, 6 handicap spaces for 161 staff members (some
part-time and traveling).
o Traveling staff need time to park and get into the building.
o The overflow parking on the lawn up the driveway will not be an option when
there is snow. May have to use the car loop after drop off and before dismissal
time.
o Should have assigned spaces for traveling teachers and visitors.
o Been told that every area that can be paved has been paved. Areas for crushed
stone parking?
o Situation will be worse as we add staff.
• Budget update:
o Requested a pool of FTE budget to share between Clarke and Diamond. Will be
recommended to SC to have an additional 4 on-team teachers and will depend
on where the growth goes for next year. Clarke is already at capacity. We have
more space and aren't doing as much room sharing as Clarke.
• Additional off-team teacher FTE's are being requested at each building.
• Depends on Central Registration to determine where the growth needs will be.
Nothing set yet.
• We usually have a good projection by April because of moves from overseas are
typically around this time.
• Middle School Schedule
• We will be looking into a new schedule for 2019-2020 school year. LHS is also
considering a new schedule.
• Early release day in January will be used to discuss the schedule with our staff.
Start getting feedback from staff and asking for volunteers to join the scheduling
committee.
• Admin will be meeting with department heads to ask them to go back to their staff
to review and reconsider our Program of Studies. Goal would be to create a
program of studies that is not dependent on the schedule.
• Would like two parents from each middle school to be on the committee. Site
Council parents are asked to consider being on the committee. No decision has
been made on having outside participants
• Timeline: Mid-December- meet with Dept. Heads. January 11 - present to staff
the current schedule and have groups answer three questions to frame the work
of the committee. Also, ask for volunteers for committee. February and March -
focus groups and forums for parents and students. Information back from
departments will be reviewed. Report back out to staff. April and May- consider
sub-committees. Summer- possible scenarios designed. Next Fall - solicit
feedback from staff. Will not have a vote, but will committee will consider all
feedback. December 2018 will have a decision.
• Start time decisions should not impact this work because number of hours in the
school day will not change.
Staff Report:
• HVAC move - second round coming up next week. December 11 the new Staff room will
be open with desks set up for on-team teachers for when their room is shared.
• Food drive for the next two weeks run by Student Council.
Member Input:
• Parent conference feedback? Still have a few people who did not get a spot. Still
openings for off-team teachers. There is an internal committee studying parent teacher
conferences using data from focus groups and surveys from last year. Will hear from
this committee in the spring for a new proposal.
