Meeting was rescheduled after cancellation of January 22,2014 meeting.
Given no quorum present, informal discussion was had on the following:
Interest in bringing the subcommittee to a close within early-mid 2014
1 Financials—a few remaining outstanding invoices,including invoice from electrician for
work done on the 300th clock. Sue Rockwell will pursue to have covered by the clock
manufacturer as part of warranty A few other remaining commitments exist that require
some funding. The 300th Anniversary book inventory is estimated at over 100 books
remaining unsold. Jessie Steigerwald will draft an article re: book availability and
emphasize revenue to benefit the Town Celebrations Committee.
2. Street Banners—Most of the 300th street banners have been taken down from the poles.
DPW is continuing to remove banners. Donna Hooper will check with DPW on
outstanding banners yet to be removed.
3 300th Anniversary Flags—Thoughts on opportunities to provide flags to community
organizations such as: Scouts, Chinese Association of Lexington,Lexington Garden
Club,Indian Association of Lexington, Chamber of Commerce, Cary Library, Lexington
Arts and Crafts Association,Munroe Center for the Arts, Lexington Historical Society @
Depot Building, Town Celebrations Committee
4 Time Capsule—Donna Hooper is documenting lists of capsule contents and burial
location for archives,to be available for 50th anniversary unearthing in 2063.
5 Documenting Gifts—Deputy Town Manager Linda Vine is pursuing necessary
documents for formalization of gift transfer to the Town of Lexington—300th Clock,
quilts, etc.
6. Web Site—Concerns expressed on status of archived site, still needing updating to be
brought to acceptable place where it can be frozen in time.
7 Merchandise—some merchandise remains of event items including flags, baseball hats,
bats, T-shirts, etc. Efforts are underway to donate surplus items to appropriate public and
private entities while retaining appropriate quantities for the municipal archives.

8. Meeting Minutes—Donna Hooper will bring forth minutes for approval at future
meetings in March,April&May 2014 Electronic copies will be forwarded to members
for review prior to meeting dates at which approval will be sought.
9 Archives—Emphasis must be made to collect outstanding documents and materials for
archives,including digital photos, digital copies of designs,layout, and 300th book, etc.
Some members may need additional flash drives for transfer of electronic documents &
images. Sue will send email to event chairpersons for a March 15t deadline to transfer
paper and electronic records.
