Time Capsule/Monument General Updates: • Tanya Morrisett&Cheryl Meadow updated on website design and connections • Publicity—Martha Wood spoke to strategic plan,master release from this point on,issuing of releases on a staggered basis—including Patch,Lexington Minuteman,Colonial Times,etc. Lexington Minuteman may mail a special edition to all houses,as a pull-out section of approximately 40 pages • Dawn McKenna,Tourism Committee,spoke to: o AAA Travel showcase opportunity o Website—linking to Tourism website o Database of visitors Events Update: • Patriot's Day presence—Tanya Morrisett reported need for banner carriers,and plans for Youth Commission float coordinated by Beverly Kelley • Gala Ball—Kim Coburn,Tanya Morrisett and Joyce Murphy updated Committee on plans for September 2191 event • Opening Ceremony—plans are underway need was expressed for volunteers for opening ceremony • Baseball Game • Closing Ceremonies—Suzie Barry commented on Memorial Day parade,honoring veterans after an afternoon sealing of time capsule event,performances by the Pops Chorus&Bicentennial Band • Eric Carlson suggested a sign listing all Lexingtonians killed in the country's battles be created. • Discovery Day has been removed from the list of 300th Celebration events o Possible Minuteman encampment on Discovery Day? • Patriots' Day Presence—marching group with signs,Jessie is coordinating marchers to march in period garments,banners,etc. • Opening Ceremony Weekend Events • Gala Ball—Joyce Murphy co-coordinator—Friday night, September 21 s`—tickets to be required • Opening Ceremony—LexMedia cable provider will be simulcasting of the Cary Memorial Building and High School events • Country Fair—plans proceeding along,mailing to be sent out soon,with insert for Discovery Day materials, and bookmark Suzie Barry commented on plans for tents at Hastings Park,mapping out by tent vendor, and need to speak with Public Works Dept.on a regular basis—keeping an open communication! • Dance planned @ Lexington High School—Saturday evening • Incorporation Weekend—plans going well,with emphasis to get the word out to have good representation from the many organizations o Jill Hai&Betty Gao to coordinate the framework—`LexCelebrate',Mass Memories Road show to be included in that weekend o Sue Rockwell reviewed need for any participating event to submit proposal to be included as an official' event of the 300th celebration • Closing Ceremony—Symphony Chorus,Bicentennial band,Memorial Day Parade,Time Capsule following parade? Overview given of routine participants in the Memorial Day parade • Closing Ceremony at Depot Square/Emery Park Jessie Steigerwald&Tanya Morrisett will serve as point persons for the event. Community Events for Approval—none this meeting • Jane Hundley asked about Parent-Teacher Association events as the schools. Since events are not open to the entire public,these types of events will not be included as 300th official events. Community Meeting previously set for March 22nd cancelled,possible future April date considered Fundraising—Larry Link reported: • Need to create a template for donations • Fundraising package to be ready shortly • Possible big-time donors being sought,and possible tax bill insert in June • Donna Hooper reminded Larry of the need to plan use of FY12 town appropriation for use by June 30t • Sue Rockwell commented on price points for the packages, questioning if 2 or 3 groups/organizations might pair up jointly for a package Other Lexingtons— • Suzie Barry questioned outreach to the other' Lexingtons named after this Town,how many listing,what should the invitation include, arrangements needed,and what entity should reach out to these communities. The sense was that Board of Selectmen should extend the invitation • Mary Gillespie has been in contact with representative from Lexington,KY Indication is that possible 10 representatives from Lexington,KY plan to visit. • Dick Kollen,Mary Gillespie, and Jane Hundley's 4th graders are looking at Lexington's around the US—possibly 21 in total.
