HomeMy WebLinkAbout2012-01-31-LEX300-min.pdf Lexington 300th Anniversary Celebration Subcommittee Meeting of Thursday, January 31,2012—Department Heads Meeting Representatives from the Lexington 300"'Anniversary Celebration Committee met with Department Heads: Denartment Heads Koren Stembridge,Cary Library Director Marie McDonnell,Town Manager's Office Lexington 300'Anniversary Committee Karen Simmons,Recreation Director Kim Coburn Gerard Cody Health Director Fay Backert,Country Fair Donna Hooper,Town Clerk Ilene Benhiat,Logistics Linda Vine,Deputy Town Manager Van Seasholes Joseph O'Leary,Captain,Police Department Jessie Steigerwald David Pinsonneault,Operations Manger,DPW • Opening Ceremony—To be held at Lexington High School and Cary Memorial Building,Country Fair to be at Hastings Park • Antique Cars to be positioned in the circle at Cary Hall • Lexington Police to cone off the circle and at Lexington High School gathering point after leaving Cary Hall • LexMedia to simulcast • Tickets are sold out • Volunteers&Performers—drop off horses for volunteers to setup • Keep Post Office employee parking from the parking lot at the Town Office building • Mini parade to Lexington High School—up Massachusetts Avenue to Muzzey Street—similar to the Little League parade,closing Massachusetts Avenue in both directions. Possible use of some golf carts,mix detail officers and staff for traffic control • Second ambulance to be at East Lexington station • Antique cars on the law in front of Cary Memorial Building,bagging parking meters,possible handicapped parking needs • Discuss with LexPress possible transportation • Football field renovations may not be completed • Country Fair vendor setup 9:00—10:00 am @ Hastings Park, 11:00 am opening,with food,etc. • Worthen Road—parking restrictions and crossing assistance • Public Works Operations staff at Hastings Park for water,electrical,etc.hookup—2 staff,8 hrs each • Vendors— 1 day permit,food permit • Town Manager signs contracts as needed,via through Marie McDonnell&Linda Vine • Parking at lots at St.Brigid Church&Grace Chapel Musket Ball—Joyce Murphy co-chair,Friday night under tent at Hastings Park? Publicity Opportunities— • Recreation brochure,Council on Aging newsletter,property tax bills,Lexington Minuteman Respectfully submitted, Donna Hooper,Scribe • Closing Weekend—Jessie Steigerwald reviewed `Behind the Seams' —an event with textile initiatives,printing of'save the date' notices authorized and samples distributed. Event Proposals for Approval: 1 Lexington-Antony Sister City—Proposal was discussed and requests for some rephrasing identified, for return to next meeting for vote 2. Promenaders—viewed as a nice idea but found not to be a collaborating event Next Community Event meeting-March 22nd in the Selectmen's Meeting Room,Town Office Building • Crafty Yankee is interested in partnering with revenue sharing if use of Lexington 300th logo is authorized Fundraising Larry Link— • Final fundraising plan is not yet ready,need remains to finalize the packets/packages,with identified need for a package at the$2,500 level Banners,Time Capsule, Etc. • Banner Location—identify location of the banners within the Town, limiting the number in Lexington Center. DPW will be consulted with on possible locations with current poles with hardware. Eric Carlson will obtain the number of locations that can be used. • VOTE. Voted to change the shape of the Lexington Logo • Incorporation—U Mass Boston—Making residents,a snapshot of the community as part of Lexington's 'We are Lexington' project—estimated cost$1,000 • Lexington 300th Clock—the only permit required is the electrical permit!
