Programs&Events—Committee sponsored events,community/business contact 4 Mementos—time capsule/clock monument,banners 5. Fundraising General Updates/Action: • Minutes of meetings of August 8,2011 &September 26,2011 Unanimously Approved Theme— • Events Working Group brings forth the theme—We are Lexington'—Farms Freedom,Families • Discussion of other options brought forth and VOTED 6-1 in favor of`Celebrating 300 Years—We are Lexington' • Discussion on how and when to use theme Logo—use of logo must have permission,and not to be used for commercial purposes. Legal rights and licensing fees questioned. Statement of use must be approved. Working Groups— • Publicity&Communication—website prelaunch pending,need to check with town representative Candy McLaughlin. Cheryl Meadow will join web training and serve as dedicated person/clearing house. • Timeline—Dick Kollen is working on timeline of Lexington's history • Telephone line—extension#713 dedicated as Information and messaging line for Lexington 300th Programs&Events— • Jessie Steigerwald identified 4 possible events to be sponsored by the Committee—Opening weekend, major performance,incorporation weekend,and closing events. • Fashion Show—October 22,2012—including Municipal&School staff/employees— o Municipal— 1960's o School-1970's • Incorporation Weekend—Jill Hai&Betty Gau with Git Padiki as co-chair for the Dance • Closing Weekend—Margaret Counts-Klebe,Kathleen Linehan • Opening Ceremony—many different people,filmed,time capsule,showcasing who/what we are like o Process from Cary Memorial Building to Lexington High School,All-town photo,picnic/Country Fair—farming,technology,Evening Dance-intergenerational&free,Symphone the following weekend Community/Business Contacts— • Proposals(2)received from the Lexington Historical society—VOTED TO APPROVE AS 2 COORDINATING EVENTS Event Criteria—Jessie Steigerwald proposed criteria to be used for all events to be approved from this point further —APPROVED UNANIMOUSLY Mementos—Time capsule,clock,banners • Lexington Streetscape project plans reviewed o Time Capsule—granite vault,Dave Eagle has vendor willing to provide the granite. Stan Abkowitz is prepared to donate time capsules and asks to firm up criteria for production • Time Capsule Nominations from web site—submissions idea page— o Involve students,community,scouts,school use as writing piece(Jane Hundley),identify timecapsule contents,etc. o Dick Kollen to write up 1799 monument contents • Events seeks additional mementos—possible samples&pin prices—what will Volunteers receive? • Banners—need to confirm locations,quantities,etc.—Eric Carlson Fundraising—Larry Link,Tanya Morrisett—other possibilities • Fundraising under development? Next Meetings—preferred days/times—Thursdays @ noon—3rd Thursday? November thru February? Follow-Up Fundraising Discussion: Larry Link, Shelby Kashkiet,Sue Rockwell,Jessie Steigerwald,Tanya Morrisett,Donna Hooper • Jessie provided fundraising opportunity overview,with Shelby seeking to reach out to Corporate entities • Larry Link questioned the full budget and sponsor needs. • Quick brainstorming resulted in rough need for$85,000 to cover Patriots Day,Tents,Fashion Show Incorporation Weekend,Closing Events,Publicity,etc.—round up estimate to$100,000! • If 3-5 key targets to seek$25,000 donation for large bulk of funds—longstanding companies,historical pillars of the community • Banners—hanging at major intersections—types,colors,etc. Banners for families to have on front door? Flag type? • Major Lexington companies—Raytheon,MIT Lincoln Lab,Vista Print, Shire,Cubist, 12 banks,Wilson farms, 15 major companies,Dunkin Donuts,Panera,etc. • 2012 budgets—must be done now for corporations • In-kind gifts—Vista Print,Wales Copy etc. • Additive to current/ongoing contributions to Town—plaque/decal to donating businesses? • Parchment/framed recognition—permanent recognition of donation Respectfully submitted, Donna Hooper,Scribe
