HomeMy WebLinkAbout1975-02-06-TCC-min.pdf • 1 TOWN CELEBRATIONS COMMITTEE February 6, 1975 Next meeting February 13, 1975 at 7 30 pm at the Visitor's Center PRESENT : Chinn Barnes, Mrs, Litchfield, Mr Gaughan, Mrs. Mitchell, Mr Flynn, Mr Turner, Mr. Brenchick Mr. Ralph Lord and Mr. George Cooper MINUTES Of the TCC meeting of January 30 were approved as printed. Mrs. Mitchell will have copies of her notes from the joint TCC' LBe meeting made for distribution to TCC members CORRESPONDENCE Mrs, Litchfield has been contacted by Mr Wilkinson of the Shriners; by a representative of St. Theresa' s; by Senator Brooke's .. office, all by telephone. She has written to .invite the Superintendent of Minute Man National Park to attend. the Fiske Hill ceremonies , and will write to Mr. Gillespie at the High School to issue an invitation fpr par- ticipation in the morning parade to both the Senior and Combined Junior High School bands. Mr. Brenchick reported calls from St. Camilla's in Arlington and from Bill Dailey, who' has organized the JAG marching unit in years past. FLOATS Mr. Brenchick reported that he now has 14 entries and expects that he may have about 6 more before the deadline. The float clinic is scheduled for .Sunday, February 16, at Temple Isaiah, from 2 pm to 6 pm. There will be scheduled appointments during part of this time He will be responsible for submitting an article to the Minute Man; Chinn. Barnes also asked him to include a reminder to the effect that the deadlines for both floats and marching wits are upcoming. SCHOOL and YOUTH PARADE LIASON; Mr. Ralph Lord joined the committee to report that Mark Doran, Senior Class President, is willing and happy to serve as Chief Marshal of the morning parade, as well as master of cere- monies. He will appoint the necessary staff and will be in contact with Mr. Lord, The TCC noted that there would be more definite guidelines as to the possible division makeup of this parade after further discussions sbheduled for February 13. Mr. Lord will also request that the same restroom and custodial staff used for both morning and afternoon parades last year be reserved on behalf of the TCC for parade participant use. Any additional requests for use of, or installation of temporary restroom facilities, will come either from the Chief Marshals the Town Manager, or Mr. Tarlitt since there may be plans- to base some .first aid facilities at the high school. Mr. Lord also noted that he had heard from only one student group about the possible Bale of food in the assembly area. It vas therefore agreed that Mrs Litchfield should write to the Town Manager to say that the TCC hapmoobjections to allowing commercial vendors to operate in the area. The student group understands that the necessary permits, etc must be obtained through the Town Manager's office. FEB 1 31975 Town Celebrations Committee - Minutes - February 6, 1975 Page 2 It was also noted. that there was still a request from the Lexington Minute Men pending for use of cafeteria facilities at the High School prior to the parade,whereupon the TCC again voiced objections based on the problems of parking and assembly which could arise POST PARADE RECEPTION Mrs. Litchfield Will write to the Grand Knight, Lexington Council #94, Knights of Columbus, to accept with thanks the kind offer made for the use of Heritage Hall for the .post parade recep- tion. Mr. Gaughan has been in consultation with K of C representatives and will be working on catering arrangements during the coming weeks. His preliminary investigations showed that the standard rate for cam- merriial caterers would come to approximately $5.00 per person; it was again noted that this affair is being funded by the Chamber of Commerce. The committee agreed that any attempt to pass out the booklets as gifts, either at the reviewing stand or at the reception, posed more problems that had originally been considered; therefore, it was decided that mailing these mementoes to guests following the weekend would be appro .iete. m also agreed. to ask those reviewing stand guests (who are, of course, to be invited- to the reception) who are. not going to be in Concord, to assemble at Heritage Hall prior to the parade. Bus trans- portation both to and from the reviewing stand will be arranged REVIEWING STAND: Mr. Flynn has inspected the flatbed trailers which would be available on loan from Hanscom; it was agreed that he should request the use of two 40 foot trailers. They come equipped with both railings and stairs and, possibly, decorated The Air Force would de- liver them to the site. Mr Flynn will contact chair rental companies to request a quotation on 200 chairs PRESS AREA: Mr. Flynn will check with Mr. Tarlin to ascertain the final responsibility for press arrangements, He also noted that PA equipment from the Air Force might be available for use, both at the reviewing stand and in other areas. He will follow up on this. PARADE JAItTICIPANTS It was recommended by Mr. Flynn that the TCC invite the following units: St. Theresa's ($400), St. Agnes ($350) and their guests (no foe) , St. Joseph's ($400) , and the Crusaders Drum and Bugle 'Corps ($400). All are Class A Championship quality units. In the absence of the Chief Marshal, and sending the Feb. 16th unit application deadline, no final decision was made; although it was noted that the expenses were not out of line in comparison with other units already in- vited. COFFEE AND DOUGHNUTS: Mr Turner volunteered to investigate sources of supply for refreshments to be available to marchers after the afternoon parade. lithe best guess as to quantity required was approximately 2000 cups of coffee. MORNING PARADE. Chmn Barnes asked. that Mrs. McGonagle be contacted to arrange for publicity in the Feb. 13 Minute Man; parade makeup will be discussed at next weeks TCC meeting.
