HomeMy WebLinkAbout1997-09-08-LEX2000-rpt.pdf 011) VciptSn 9_60o 1A(1 ".0,1 v Ct3'C(/Ck THE TOWN OF LEXINGTON'S p-- \ o PUBLICIPRIVATE PARTNERSHIP WITH THE LEXINGTON COMMISSION 2000 The following Mission,Membership Listing and Duties/Responsibilities have been presented to and endorsed by the Board of Selectmen. MISSION To create and foster an appropriate town-wide celebrations for Patriots' Day in the year 2000 which will attract interest from townspeople as well as visitors. Through interaction with civic and other organizations within the Town of Lexington, create a celebration befitting the 225th anniversary of the Battle of Lexington. MEMBERSHIP The Lexington Commission 2000 shall initially contain eight members appointed by the Board of Selectmen. Members shall be added,as necessary,to successfully complete the Commission's mission with the approval of the Board of Selectmen. The Commission shall be dissolved in June of 2000 and upon the acceptance of the final report. The following duties are charged to the members listed below: • Gardner L.Hayward, Jr.—Chairman: The Chairman shall oversee all aspects of and guide the Committee and is responsible for all actions of the Committee. • James D. Roberts—Vice Chairman/Secretary. The Vice Chairman shall substitute for the Chairman, in his/her absence,and shall keep and report all minutes of the meetings in accordance with the town law. He/she shall also be responsible for correspondence sent by the Committee. • Winston E.Flynn—Event Coordinator: The Coordinator shall interact directly with all town groups and/or organizations which participate in the 2000 Celebration. • George S. Comtois-Treasurer: The Treasurer shall be responsible for the Commission's budget for the 2000 Celebration and any and all fundraising activities which are necessary to complete the Commission's mission. • Robert H.Neufeld—Public relations: Shall create a media campaign for the purpose of fostering the 2000 Celebration. • Dan P Busa—Town Selectmen Liaison: Shall advise the Commission on ways and means and shall communicate all activities to the Board of Selectmen • Suzanne E.Bary—Town Celebrations Liaison/Executive Secretary. Shall communicate the Commission's activities to the Town Celebrations Committee and post all meetings according to Town regulations. Shall also be responsible for taking minutes and distribution tea to the appropriate parties. • Louis C. Sideris—National Park Service Liaison: Shall communicate the Commission's activities to the National Park Service in Concord. DUTIES/RESPONSIBILITES A. Plan and execute,with approval of the Board of Selectmen and Town Manager,an appropriate celebration for Patriots' Day on April 14, 15, 16 and 17 of the year 2000. B. Submit a report to the Board of Selectmen the following: - General time period and scope of activities as plans are formulated. - Request for additional Commission members as needed to coordinate the Celebration. - Outline budgetary requirements and a proposal for funding. C. Work and cooperate with any and all groups or interests within the town which are planning programs appropriate to the Celebration. D. Work with and communicate to the Police Dept., Fire Dept., DPW, Parks and other town departments in matters concerning public safety and traffic control. !^ E. Any special requests for town staff assistance shall be directed to the Town Manager. F Post all meetings in accordance with Town meeting laws. G. Submit a final report to the Board of Selectmen by June,2000. H. Coordinate with Town Celebrations Committee to avoid overlap and planning conflicts. I. Fund raising: Set up a 501C3 account at a local Lexington bank. The Board of Selectmen have embraced this proposal recognizing that the Lexington Commission 2000 is an independent,private non-profit whose sole responsibility is to create and foster an appropriate town-wide celebration for Patriot's Day in the year 2000 in partnership with Lexington's Board of Selectmen.
