HomeMy WebLinkAbout2011-CPO-chg.pdf ORGANIZATIONAL STRUCTURE OF THh LEXINGTON COMMUNITY PLAYGROUND OVERSIGHT COMMITTEE Purpose To assure that the playground is maintained in accordance with the Architect's schedule; to assure that all repairs are done in a manner consistent with the original installation to maintain the structural integrity of the playground; to authorize expenditures from the maintenance fund and initiate additional fundraising if necessary; to review community suggestions on matters of design and safety issues Committee Positions/Resnonsibilties Chairperson/Co-Chairpersons Kerry Brandin and Cathy Baker serves as liason with Town Manager and Director of Public Works contacts the Architect's office with questions or problems schedules meetings organizes and directs the efforts of the committee delegates responsibility and makes sure that tasks are completed nominates candidates to serve in committee positions member of Executive Committee Treasurer David Sweet manages the organization's finances works with Town Treasurer and Comptroller to establish interest bearing account member of Executive Committee Secretary Candy McLaughlin* maintains and distributes minutes of all committee meetings books meeting rooms and posts public meeting notices member of Executive Committee Scheduled Maintenance Coordinators Andy Rockefeller* & Rick Testa* organizes six-month maintenance work parties in October and April walks site to scope out work assigns tasks to Materials and Tools Coordinators establishes work party date advises PR/Volunteers Coordinator of needs keeps committee informed on condition of playground Materials Coordinator R: L. jsaLh* .1H Wr-lte105cJ1SC maintains a complete inventory of supplies on hand purchases additional supplies for work party and emergency repairs Tools Coordinator Larry Makovich arranges for all tools to be on hand for scheduled maintenance work parties «, rn -' r s PR/Volunteers Bill Duncan responsible for lining up enough volunteers to staff work parties calls volunteer list to assure a guarenteed minimum number of workers (number to be established by Scheduled Maintenance Coordinator) submits newsreleases about work day to Lexington Minute-Man posts notices at playground Emergency Maintenance Coordinator Superintendent of Parks Dale Gaasland evaluates all in-coming repair calls performs emergency maintenance procedures in keeping with the original installation maintains log of repairs that can wait for scheduled maintanence works with Material and Tools Coordinators as required attends Oversight Committee meetings and reports on condition of playground liason between committee and Public Works attends October and April work parties, provides PW generator and access to grey building where supplies will be stored Lexington Recreation Committee Representative Brian Adley MartrA V'esnp:ini serves as liason between LRC and this subcommittee This committee will meet twice a year in September and March, approximately one month prior to the scheduled maintenance parties Decisions requiring action between meetings can be made by the Executive Committee composed of the Co-Chairpersons, Treasurer, and Secretary New members (*) will be asked to serve a two year term; old members may elect either a one or two year term. Terms are renewable Emergency Procedures Reports of maintenance problems will be made to Town Hall All calls should be switched to Public Works who will log the call and advise the Emergency Maintenance Coordinator (Superintendent of Parks) who will evaluate the nature of the problem Broken equipment will be repaired immediately or dismantled to ensure a safe playground until the equipment can be re-installed Graffitti is to be treated on a near-emergency basis, should be sanded off and the surface resealed A log will be kept of all calls and action taken Before the scheduled maintenance work parties, Coordinators will check the log to add non-emergency repairs to his work list Grounds Maintenance It will be the responsibility of the Parks Department to redistribute the gravel and pick-up litter on a weekly basis Trash barrels are to be emptied as needed (3 times a week in Spring, Summer, and Fall) The needs of the trees and weeds must be addressed Materials Storage A lockable facility (16 sq ft ) is required on site in the grey building for spare parts The Materials Coordinator, Scheduled Maintenance Coordinators, and Emergency Maintenance Coordinator should have keys both to the building and the locked storage area co ao - 1 N)
