HomeMy WebLinkAbout2024-05-01-TCC-min Town Celebra?ons Commi?ee Minutes of Mee?ng May 1, 2024 By Zoom Teleconference Members Present: Glen Basse?, Geetha Padaki, co-chairs Linda Dixon, Dave Grabel, Cerise Jalelian, Bonnie Karshbaum, Sondra Lucente, Lorain Marquis, Sandy Podgorski, Ashley Rooney, Sue Stering, Pam Winters Members not Present: Sudha Balasuryan, Kevin Collins, Yifang Gong, Dabby Harter, Mary Hu?on, Julie Miller, Honf Xie, Steve Cole Housekeeping:  Mee?ng called to order at 7:02 PM  Welcome and Introduc?on of new member Huma Wasim  The minutes for March 3 and March 10 were approved.  Glen asked if there were any people that we need to thank for helping with Patriots’ Day. Next Steps:  Lorain will work on ge?ng Mike’s photos uploaded to the Google Photos Album.  Geetha will check if there is a Google Drive called “Town Celebra?ons Commi?ee” or Celebra?ons Commi?ee” that can be used for archiving pictures and other documents.  Geetha men?oned a Google Photo Album and a Town Celebra?ons Commi?ee Google Drive. Geetha agreed to check the usage of the la?er and suggested it might be a more suitable long-term storage solu?on.  The team also touched on thank you le?ers, with no specific ac?ons men?oned.  Lorain volunteered to take the minutes, but we need a permanent volunteer to back up Yifang in his absence. Memorial Day Planning:  A request was made for nine wreaths, with Scouts poten?ally serving at mul?ple loca?ons. The team decided not to connect with the Church of Our Redeemer and will instead ask Cary Hall for assistance in case of inclement weather.  Linda will provide an update on the content for the Memorial Day webpage and the progress made this week.  Linda will dra? an email to the select board and the town manager to confirm the details for using Emery Park and Munroe Cemetery for the Memorial Day Event.  Linda detailed the recruitment of two musicians for an upcoming event, one of whom is a professional keyboardist and the other a choral director at Lexington High School. The professional musician will require an honorarium of $100, which was not initially budgeted.  Jeff Leonard and Jason Iannuzzi will handle audio needs for the musical instruments.  Sandy made a motion that we rent 200 chairs, Lorain seconded it and the committee approved it  Bonnie commented that we may be able to borrow some chairs from the Masons.  Sue will contact LexMedia and ask them to record the program.  Linda also mentioned that high school students would be sought to write and perform poems, with two entries to be included in the ceremony. DPW will provide a podium and microphones for speakers and performers  Sandra will send a note to Kim to request permission to place 8 flags at the World War II Veterans’ Memorial Plaques around the Green.  Sandra offered to handle flag displays around the green  The team agreed to display the poppy display after the event until the following weekend.  Linda presented the expenses for the upcoming event, which were confirmed to be within budget by Dave, Lorain, and Sandra. The team discussed the costs for posters and flyers with Geetha seeking clarification on previous correspondence. Linda also agreed to send Lex Media event details for recording. Linda discussed seating for VIPs.  Geetha and Sandra discussed the possibility of distributing flyers in town, but ultimately decided against it, opting for a QR code instead.
