Paul Garrity, Trustees;Jeanne Krieger and Jeri Zeder, Foundation, Laurel Cooley, Margaret Brooke, Joanne Brown, Kathy Head, Janet Rutan, Chris Ammer, Ethie Slate, Friends and Emily Smith, Koren Stembridge, Cathie Ghorbani, Jen Forgit, Alissa Lauzon, Library Staff. Call to Order: Norman called the meeting to order at 4:00 PM Secretary's Minutes Vote: Margaret made a motion to approve the Minutes of the January 20, 2016 meeting. Suzie seconded the motion. The motion passed unanimously. Norman welcomed attendees asking them to introduce themselves. He moved the Transformative Spaces Presentation to start the meeting. Koren and Emily presented renderings and plans for the upcoming project to relocate the teen space to the lower level, create a living rooms space an "idea wall" and "library of things" on the main level. They explained the move of the various collections throughout the library and detailed the construction timeline including phasing and disruptions. Our meeting rooms will be offline from June 15 to mid-September, there will be no quiet study room reservations, and study rooms will be on a first come first serve basis during this period. We hope the bid will be awarded by the end of April and the plan is to start right after July 4t". The publicity campaign will launch in May. We are finalizing the finishes and will present them at the next board meeting. Emily pointed out the location of a mural that we hope to collaborate with local author artist Christopher Bing. The teens will come up with a theme. Norman invited comments. Overall comments were positive. Foundation Update Jeanne Krieger reported the following: • The Foundation has reached 80%of their fundraising goal of$750,000. • We have one upcoming mass mailing. • The teens have been involved, they are hosting a concert on March 11, Cary Ca ba ret. • The Foundation webpage has been updated, take a look. She expressed her gratitude for the community support for the project. Friends Update Laurel Cooley reported: • The Friends Annual Book Lovers Brunch will be Saturday, March 12, the speaker is Anthony Amore. • April 12 is National Library Worker Day and we will be hosting a Staff Appreciation event for staff. Please stop in. • Our spring newsletter has just gone out. Nominating Committee Suzie Barry presented the slate of offices for the Executive Committee; Norman, Cohen, Howard Jaffe, Kate Ekrem, Jessie Steigerwald and Joe Pato. Norman called for other nominations. The motion was adopted unanimously. Norman expressed his appreciation for Margaret Coppe who will no longer be a member of the Executive Committee. Margaret thanked the group. She is excited to have been part of the planning of the upcoming project. She loved working on the Executive Committee and thanked everyone for their well wishes. Financial Update Koren reviewed the year to date Municipal and Trustee reports: • We where we expect at this time in the year. • We received our first installment of State Aid. • There will be no Shire payment this fiscal year. • The Fiends transferred funds. She acknowledged the dedication to the library books sales. The Executive Committee allowed us to sell our used books in the book sale; we receive no formal complaints. New Business Alissa Lauzon, Head of Children's Services detailed plans for the Second Annual Fairy Tale Ball coming up on April 15t". She requested permission to close at 4 PM to allow for set up. Kate moved to approve the early closure. Margaret seconded the motion. The motion passed unanimously Paul made a motion to adjourn the meeting. The motion was seconded by Margaret.
