BOARD OF LIBRARY TRUSTEES
Wednesday,January 20, 2016
Attendees: Norman Cohen, Joe Pato, Kate Ekrem, Suzie Barry, Claire Feingold Thoryn,
Judy Crocker, Michelle Ciccolo, Trustees; Jeanne Krieger and Jeri Zeder, Mollie Garber,
Foundation, Laurel Cooley, Friends and Emily Smith, Assistant Library Director.
Call to Order: Norman called the meeting to order at 4:00 PM
Secretary's Minutes Vote: Kate made a motion to approve the Minutes of October 21,
2015 meeting. Suzie seconded the motion. The motion passed unanimously.
Norman asked attendees to introduce themselves.
Financial Update
Emily reviewed the year to date Financial Reports on the Municipal and Trustees side.
We are about 50% expended at the halfway point on the Municipal side. Personal
services are slightly higher due to a few vacation buyouts. We are on pace for fines and
fees on the Trustees budget. We received our first Foundation funds which we
transferred to the Town for the Transformative Spaces Project. The December
Endowment figures are not available yet.
Administration Update
Emily noted that we are nearly fully staffed after several vacancies. Stacy Meninno a
part time Library Technician will be starting full time in February. There will be two 15
hour vacancies to fill.
Friends Update
Norman welcomed the Friend's President Laurel Cooley replacing Phyllis Brooks. Phyllis
will continue to be involved on the board and co-chair of book sale operations.
Laurel expressed she is so excited to be work with such a wonderful board.
She reported the following:
• The Friends of Cary Library pledged to donate $50,000 towards the
Transformative Spaces Project.
• They will be hosting a "Book Lovers Brunch" on Saturday, March 12, 2016. The
speaker will be Anthony Amore, discussing art theft. This program is in
cooperation with the Foundation and part of Lexington Reads.
• During the National Library week in April, we will be hosting a reception for staff
to recognize them for their good work.
Foundation Update
Jeri reported the following on behalf of the Foundation:
• At year end the Foundation was slightly over last year's receipts.The
Transformative Spaces Project did not impact the Annual Fund Drive.
• Jeanne is continuing one on one solicitations.
• In February we will send out a community mailing
• The Planned Giving Committee will be hosting an event on May 24, 2016, we do
not yet have a speaker in mind.
Jeri attributes the success of the fundraising to Jeanne's hard work, the quality of the
plans and the community's love for the library.
Building Update
Emily provided Transformative Spaces Project update:
• The large meeting room and learning center will be offline until the completion
of the project since they will be used as a staging area and staff working space.
• Phase I work will be on the main level, including the study rooms and common
work areas. Phase 11 will move the Fiction collection upstairs, then the lower
level construction.
• The Town Engineering Department informed us they will be replacing the
sidewalks around the building which we hope will take place by the start of this
project.
• Staff are meeting weekly with the architect to finalize the plans.
• We hope to keep the days closed to a minimum.
Suzie inquired about final exam week for high school students. Emily explained that we
will not start construction until after the exam period. During that week, we will have a
program bringing in puppies to reduce stress.
Nominating Committee
Norman explained that at the Board of Trustees Annual Meeting in March, we will elect
the members of the Executive Committee. Suzie Barry will head up the three person
Nominating Committee. She will be in touch with Margaret Coppe from the School
Committee and Brent Maracale from the clergy if they can serve on the committee.
Michelle made a motion to adjourn the meeting. The motion was seconded by Suzie.
The motion passed unanimously.
