Minutes of Meeting
September 14,2017
A joint meeting of the Recreation and Community Center Program Advisory Committees was held on
Thursday, September 14,2017 at 7:00pm in Room 139 of the Lexington Community Center, 39 Marrett
Road, Lexington.
Recreation Members Present: Rick DeAngelis,Jason Denoncourt, Lisah Rhodes, Sandra Shaw
Recreation Members Absent: Ruixi Yuan
Program Advisory Members Present:Nancy Adler,Nancy Sheppard,Archana Singhal, John Zhu
Program Advisory Members Absent:Alessandro Alessandrini, Dan Palant
Staff Present: Melissa Battite, Director of Recreation and Community Programs, Christine
Dean, Community Center Director, and Charlotte Rodgers, Director of Human
Services
Others Present: Doug Lucente (Board of Selectmen liaison), Camille Goodwin(Council on
Aging Board)
1. Meeting Minutes from August 16,2017
Sandra Shaw moved and Lisah Rhodes seconded approval of the Recreation Committee Minutes
of August 16,2017. Rick DeAngelis recused himself as he was not at the meeting. The
Recreation Committee voted 3-0 to approve the minutes of August 16,2017.
2. Community Center Building Use and Information Policy
Melissa Battite introduces a history and need for the building use policy. She, together with
Charlotte Rodgers and Christine Dean,present a slideshow highlighting the diverse,
multigenerational and multicultural programming at the Center.
As discussion focuses on the current Priority Levels (see attached), Rick DeAngelis states that he
would like to maintain as much consistency between the priority levels as possible.There is
discussion regarding the distinction between non-profit, charitable organizations and 501c3s,
Selectman Doug Lucente suggests including the tern"civic'to cover all. He then questions the
meaning of"open to the public." Rick DeAngelis presents the example of the Lexington Babe
Ruth league wanting to reserve a room for a private meeting or celebration and points out that
there may not be room for others to join. Melissa Battite stresses the need to be able to move
forward with this process in order to present to the Board of Selectman. It is also suggested that
the drop in rooms should be highlighted and promoted to the public
Rick DeAngelis asks for clarification on the anticipated goal by close of the meeting. Melissa
Battite asks for a vote to approve recommended changes to the Priority Levels in order to
continue with the process.

There is a joint motion to review the document tiers of priority and revise as discussed which
includes splitting priority 1 into 2 categories and making other wordsmithing edits. The revised
document will be subject to final review and approval by the three Directors (Recreation, Human
Services and Community Center). Lisah Rhodes seconded the motion. The Recreation and
Program Advisory Committees voted 7—0 to give consent to move forward the revised
document to the Board of Selectman.
Melissa Battite invites the two Committees to come together twice a year in a Joint Meeting to
talk about big picture items.
The next meeting of the Recreation Committee is scheduled to take place on Wednesday, October
18',2017 at 6:00pm in the Reed Room of Lexington Town Hall.
The September 14, 2017 meeting of the Recreation Committee adjourned at 8:30pm.
