Chisholm Richard L.Neumeier RECREATION COMMITTEE MINTUES November 18, 1998 Members Present: Sandra Shaw, Pam Varrin, Don Chisholm, Rick DeAngelis, Dick Neumeier Staff Present: Karen Simmons AGENDA. 1 Sandra Shaw handed out a letter that she had written to the Planning Board showing Recreation Committee support for the granting of an easement for recreational purposes connecting Coppersmythe Way, formerly the Butler property on Marrett Road, to the path that goes around the Old Res. 2. The meeting minutes of September 16, 1998 were approved. 3 Skateboard/Inline Park Update The Recreation Committee questioned the public meeting to be held on December 3rd and will not take a position on the proposal at this time. The Recreation Committee requested that the Skateboard/Inline Park Committee make a written presentation to the Recreation Committee. 4 Pine Meadows RFP Update The last date to submit proposals is November 20th at 11.00 a.m. The pre-bid conference was well attended with at least four different vendors participating. The RFP evaluation committee will make its recommendation to the Town Manager by the middle of December. 5 FY2000 Capital The Committee questioned the deadline for the Warrant, which is 4.30 p.m. on December 30th We should keep our options open. Dick Neumeier recommends that the Clarke tennis courts and the Center Track be added to the school project so that 59% of the cost can be reimbursed by the State. A discussion followed about adding on to the school projects. Preliminary plans will be going to the State in January The Recreation Committee would need to present a proposal to the Board of Selectmen to add 1625 MASSACHUSETTS AVENUE LEXINGTON,MASSACHUSETTS 02420 2 items. Although the Recreation Department does not want to jeopardize this project, the members feel it would be irresponsible not to explore the option fully The work on Clarke will not address the immediate field needs. Parks Department needs to make a comprehensive tour of each and every facility to compile an inventory of what repairs and updates must occur at each site. Brian needs to pull out this information for Diamond, Clarke and the High School and get the cost estimates together At Diamond, for instance, the backstop is in poor condition. The High School repairs could include the basketball court and tennis courts. Rick recommended that a geotechnical specialist test Clarke. The report needs to be presented to the Board of Selectmen in December. 6. Karen's Report The revenue from Pine Meadows this year is expected to be equal to or exceed that of last year Karen will give Pam Varrin information for the article for the Annual Report that is due on December 15th Pam expects to get the draft to Karen by Friday, December 1 l ` Karen will assign the Articles for Town Meeting at the next meeting. The Bike map project is underway Erna Greene is expected to have the map completed and ready to be mailed in March. 7 Brian's Report Brian was not able to attend because of a meeting conflict. He will make a presentation on field needs and issues at a special Recreation Committee meeting on December 9`F' The meeting was adjourned. NEXT MEETINGS SPECIAL MEETING.
