HomeMy WebLinkAbout1986-12-29-PBC-min.pdf TOWN OF LEXINGTON MASSACHUSETTS 4 PERMANENT BUILDING COMMITTEE Minutes of December 29 1986 meeting in Selectmen s Meeting Room Town Office Building, as amended and accepted January 8 1987 The meeting was called to order by Chairman K=ennedy at 8: 15 a m_ and a quorum arrived shortly thereafter Present were other committee members Edson, Grossimon and Touart; also present were staff Maclnnes and Coscia School Committee member Newman and Selectman liaison McSweeney Replacement Proscenium Fire curtains for Diamond and Hiah School stages bidders numbered only one and that bid was high Several suppliers had expressed interest but had not bid Concern e; pressed over the delay of rebidding or whether rebidding would bring desired result, i e lower price Rehearsals, but no performance with audience can take place on the stages without the curtains in place A high school winter concert is already rescheduled into Cary Hall , anticipating absence of the curtain However some other scheduled events such as the high school musical production of March 20 and 21 and the Diamond Middle School spring musical of April 10 would be more difficult to push around as full stage facilities are required TAMS will be checking with the one bidder as well as with 1, , potential bidders today to see if other firms are interested in '^ Fy ,. 1 doing the lob for less money or if B it Productions might .r' consider bidding lower with slight adjustment of specs " Committee decided that time-risk of rebidding would be worthwhile only if saving were at least $6 000 Anticipated delivery and installation would be six weeks to 60 days from bid acceptance, with no enforcement of timely performance presently in specs VOTED unanimously that the chairman be authorized to discuss the B N Productions as well as other potential bids with TAMS and that if TAMS indicates likelihood of bids less than $37 000, then rebid would be authorized Otherwise the chairman would be authorized to accept the B N Productions bid The chairman said he would keep committee members posted and attempt to reach telephone consensus prior to action (For further description of the situation please refer to chairman s information sheet passed out at the meeting ) The meeting adjourned about 8 35 a m until Thursday January 8 1987 at 8 n m in Room G-15 Town Office Building Respectfully submitted Erna S Greene Secretary to the Permanent Building Committee 1
