TOWN CELEBRATIONS COMMITTEE
November 8, 1962
The Committee met at the Town Offices at 7 :45
p.m. Present were : Mrs Litchfield, Mrs Fox and
Messrs Howard, Gilman, Barnes and DiGiammarino. Mrs.
Bayle, Mr Gaughan and Mr Poplawski were absent
Approval of the minutes of the last meeting was MINUTES
deferred until the next meeting.
Mrs Litchfield heard from Norwich accepting CORRES-
1200. and the noonday meal to bring their drill team PONDENCE
and band for April. 19
A memorandum from Mrs Fox regarding William
Roger Greeley' s contribution as a member of the Lay-
man' s League in initiating the celebration of U.N. Day
was referred to Mr. DiGiammarino.
A memorandum for Mrs Fox's recommending that
UNICEF be incorporated in the Committee plans for
celebrating U.N. Day next year was referred also to
Mr DiGiammarino.
Mr. Howard asked Mrs Litchfield to draft an
annual report .
Mrs Litchfield received a letter from Mrs. TREASURER 'S
Nussdorfer asking for $25 for petty cash purposes. REPORT
This was approved.
The committee has spent $3985 96 of its ap- 1962 BUDGET
propriation of $4500. leaving a current surplus of SURPLUS
$514 09 Discussion ensued as to how best to utilize
this surplus.
We owe about $50. in bills and need $50 in
petty cash to carry over till next year Other finan-
cial commitments include a staff, stand and plaque for
the town' s U. N. flag which Mr. Gilman was authorized to
procure in behalf of the committee
Possible other uses for any remaining surplus
would be :
1 A canopy for the reviewing stand

2 To purchase an initial order of commemorative plates
which could be used immediately by the Subcommittee I
for display purposes and subsequently could be used
as gifts for distinguished guests by both committees
3 The procurement of materials which could be used in
the publishing of a 250th Anniversary Commemorative
Booklet ,
The Committee agreed that the Subcommittee should
be given $50 for cash to be carried over into 1963 and
that any remaining surplus should be used in a manner
which would assist the 250th Anniversary Committee in
meeting its present needs
1963 BUDGET The Appropriation Committee wishes our budget
REQUEST as soon as possible Mr Howard felt we should ask for
at least $4500 to take care of the needs of the Cele-
bration Committee only He feels that we will have ad-
ditional expenses because of the dual Celebration, es-
pecially now that South American delegates are to be
asked as our guests Mr Gilman felt we should ask for
$5000 and go back down to $4500. the next year The
committee approved this, and our chairman and treasurer
will break it down in a budget for 1963
250TH Mrs Fox reported that Mr Alan G Adams had
spoken to her in regard to a publicity story for the
250th Anniversary He felt that it was time for such
action particularly in view for the need of alerting
the town to our plans for seeking a special appropria-
tion
Mr Howard reported that Mr Cobb is going to do
a column in the Minute-Man every other week on the 250th
Anniversary
The 250th Anniversary Committee is to do research
on how past celebrations were financed
Our financial problem relating to the 250th, we
discussed at length, especially the unlerwriting of the
musical drama
Friday evening, April 19, 1963 is to be reserved
for the banquet program honoring the South American
visitors
250th Anniversary Speaker's Kit : Mr Howard gave these
suggestions for the contents of the kit :

Members and past chairman
Formation of the 250th Anniversary Committee
Past celebrations and how they were financed
Contemporary celebrations by other towns in Mass
Basic policies applied to 250th (short , dignified, and
inexpensive)
The program planned with indication of sponsor
He felt that this should be a 15 to 20 minute
presentation, possibly followed by showing one or two
films of past Patriots ' Day celebrations and ending
with a question and answer period
Mr Howard requested Mrs Litchfield to get out
letters to all major organizations advising them that
we are preparing an interesting presentation regarding
our plans for celebrating the 250th Anniversary and re-
questing that we be given an opportunity to present
this program to their members
It was agreed that we should make every effort
to avail ourselves of as many speaking opportunities as
is possible prior to special town meeting in January as
an effective means of selling town leaders and towns-
people on our plans
After Mr Howard has assembled all of the
written materials which will compose speaker' s kit ;
Mr Barnes and Mr DiGiammarino have agreed to work to-
gether in translating these materials into an interest-
ing presentation through the use of slides and other
visual aids Committee members are to bring ideas for
the speaker' s kit to our next meeting scheduled for
November 29
Mrs Fox will write thank-you notes for U N Day U.N. DAY
and will ask Mr Poplawski to cover the Elks and the
uuiliLary units wr iuh i,00k part in cne morning ceremony.
Mrs Fox informed the committee that she is put-
ting together a folder on U.N. Day for the next chairman.
Our meeting of December 6 will be an important APRIL 19
one with past members and guests present The major
purpose of this meeting will be initial organization
for next Patriots ' Day Films of last April 19 will be
shown
Mr Howard suggested December 13 as a date for COMMITTEE
this, hut the general feeling was that May or June RECEPTION
would be better Mrs Fox offered her house for the
occasion
