The minutes of April 12 were approved The next meeting will be on May 3, 2017 in the Parker Room, Town Office Building. Patriots Day, Monday, April 17, 2017 The Lex Farm group moved their position in the parade without permission. Also, they were handing out something to the crowd without prior approval from TCC. Lorain will call Lex Farm group to find out what they were handing out at the parade and to clarify that they are not allowed to hand out anything without prior approval. Also to let them know that they CANNOT change their position in the parade. Lorain noted that the VIPs marching in the parade did not follow her instructions to leave the parade and move to the reviewing stand. Committee suggested that Lorain work with Peter Kelly, the Board of Selectmen liaison to the TCC, to let the Board and other VIPs know that the TCC expects them to mount the reviewing stand when the parade reaches it. The committee discussed the fact that the Waldorf School and Best Buddies marching units were handing out candy and bracelets to the crowd. The committee asked Lorain to check with those groups to find out if they had received permission to hand out anything at the parade and to let them know that they need to obtain prior approval to distribute anything to the crowd. The committee suggested that a check box be added to the application form that has to be checked to acknowledge that the applying group knows that they cannot hand out anything during the parade without prior approval. Karen Gaughan noted that all parade units had checked in by 1:45 on Patriots Day. Mary Hutton suggested that the TCC should reach out to the Williamsburg Fife and Drum band and the National Guard marching band to march in the parade next year. Mary will contact the groups to find out what their charge would be. The committee discussed the fact that traffic control by the Police this year was not good. Traffic continued to pass on Mass Ave while the parade was lining up even though traffic in both directions was supposed to be blocked at 12:30. Also, traffic should have been blocked from coming west on Worthen Rd. until all the of parade units have returned to the High School parking lot. This was not done, which backed up the end of the parade. Kim Coburn will contact CAAL to ask them to bring their dragon and to dress in traditional dress, if possible, next year for the parade. Committee decided that the application form and documents sent to accepted marching units need to be updated for various reasons, including to encourage units to dress in patriotic or traditional cultural clothing for the parade, among other issues. The committee discussed the fact that no car was provided for the Grand Marshal in time for the start of the parade, so the committee had to ask Peter Kelly to provide a car at the last minute. Lorain to check with Paul Jenkins to find out what happened. The committee suggested that TCC provide written directions to the bus drivers who are responsible for delivering marching units from the High School parking lot to the parade location. Some of the drivers this year did not seem to know the correct route. th Memorial Day, Monday, May 29 2017 Karen Gaughan reported that she is still working on getting clergy for the ceremonies. Kim will check that there will be a vocalist for the ceremonies. She will also check on the trumpets to play taps during the parade ceremonies. Lorain noted that we will plan to have the ceremonies outside, but also will have plans to move them inside if the weather is bad. Bill Mix will talk with Sam Doran about participating in the Memorial Day ceremonies at Munroe Cemetery. It was suggested that Cerise and Carol ask the scouts to wear their complete uniforms when marching in the parade.
