2020 Vision Implementation Committee
February 14, 2003Meeting Minutes

The minutes from the January 24 meeting were approved. Wendy gave a brief summary
of issues from the Operations Subcommittee meeting. Discussion topics were the draft
agenda for the public forum, and where we are in the process and where we go from here.
Public Communications Needs.
Candy passed around a sign-up sheet and reviewed the
major tasks for publicizing the process in general and the forum in particular. There was
discussion around revising a draft Minuteman article for publication next Thursday.
There was also discussion of whether pre-forum publicity should mention
Implementation Committee meetings and seek interested new members; it was decided
to focus on getting people out on March 6 at this point. A follow-up article after the
public meeting could also mention recruitment for the committee. There was
acknowledgement of numerous uncertainties about how many people may attend, but a
stated intention to attract as many people as possible. Additional constituencies that can
be tapped into include seniors, parents of school children, and the clergy.
Listed below are the publicity responsibilities people took on (thank you to all):
Alan
1. – write the next article on Themes III-V – send to Candy via email by the
end of the day Thursday, February 20
Peter
2. – write op-ed letter for signature by all committee members – send via
email to Candy by Friday, February 28; Candy will send out to everyone for
review over the weekend and submit to the newspaper on Monday.
Alan
3. – arrange for cable broadcast of the March 6 public forum
Helen and Ellie
4. – compose a letter to boards, committees, and community groups
publicizing the March 6 forum and asking for their participation – send via email
to Candy by Thursday noon, February 20. Candy will process for mailing on
Friday or Monday.
Fernando
5. – work with Candy on a letter to former 2020 Vision participants and
Town Meeting members and candidates – document needed by Thursday noon,
February 20. Candy will also send out via TMMA email list.
Todd, Peter
6. – volunteer to speak about 2020 Vision if a group requests a speaker
Jerome, Chuck, Tom
7. – individually orient new board members to the 2020
Vision process.
March 6 Public Forum.
Wendy reviewed the draft meeting plan and agenda. There
was considerable discussion about the amount of large group time in the meeting
compared to time in small group discussion, with attention to issues of process, content,
and cadence of the meeting. It was decided to retain the draft schedule, but to reduce the
small group discussion questions to the first three.Possible “next steps” that we want to
communicate are plans to begin the process again in the fall, but not go over the same
ground. This time we want to focus on identifying priorities and measures.
The overall plan for the meeting will be as follows:
7:30 Fernando – welcome & introductions, agenda & meeting objectives
7:40 Rick – overview, current context, 2020 as part of internal school/town
process
7:50 Peter – presentation of and questions on progress report
8:00 Wendy – break people up into small groups of 8-10 (or stay in one group if
<20 people)
facilitators and recorders will be available for up to 4 groups
at the beginning of the small group time, each facilitator will identify a
group member to report back to the larger group
an Implementation Committee member will be in each small group to
serve as time keeper and to monitor the reporting back, making sure the
group’s discussion is fairly represented

There is no meeting before the March 6 public forum. Final details will be arranged via
email or phone.
