HomeMy WebLinkAbout2017-02-27-ARTS-min Lexington Council for the Arts Meeting Minutes February 27, 2017 7:00 - 9:00pm Community Center, Arts & Crafts Room Pre-Meeting Tasks Review of handouts & minutes Attendance: Present : Seetha Ramnath (Chair), Faith Lin, Mark Ferri, Rebecca McGowan, Lynne Klemmer Absent : Amy Crandall Kaser (Treasurer), Jean Hart, Jessie Steigerwald, Leslie Masson, Laurel Smith Guests : Recording Secretary : Mark Ferri Meeting start time: 7:10 pm 1. WELCOME - Chairperson a. Introduction of members 2. REPORTS a. i. - needs approval in February meeting; quorum not met minutes, Faith Lin seconds. Mark Ferri motions to approve January minutes, Rebecca McGowan seconds. ii. Need official vote on new Chair - Seetha Ramnath - to be recorded. Lynne Klemmer motions to approve email via meeting minutes. b. i. Update on reimbursements, current account balance. State $2683 / Local $2724. Current account balance clarity needed from Amy - to coordinate with Laurie. ii. Granite Forest project reimbursement process update ($1000) Seetha awaiting description from David Williams before final approval. Needing to follow up with Amy regarding Diana. iii. Process for tracking discretionary local grants if approved. follow up with Amy iv. Expect to see grant money increase account value. follow up with Amy c. Grants Report i. Update on final decisions for 2016-17 grants cycle (incl. First Parish Church application) - agreed to decline this year as target date for event has passed (was in January) citing application must be electronically received to meet local guidelines. ii. Attendance/sign up for Grant winners performances by Council members. Revisit in March iii. Grant reception plans - location (requested Cary Library Large Meeting Room for either May 10 or May 17 at 7pm. Planning to create grantee reception cooperatively with a previously scheduled event. Searching out possible opportunities. May 21, East Lexington Thoreau reading or July Met Wind Symphony. d. Communications Report Website i. : www.lexartscouncil.org - any additions/corrections? Need listing of 2016-17 approved events to post. Faith will work on post upcoming events (Waldorf, Leora Tec) as requested by organizations seeking partnership. Sponsorship conversations TBC. ii. Discuss Location for Grantee Reception in May 2017 & finalize press release to Minuteman (Seetha to send), Town Calendar report (Rebecca will coordinate) 3. NEW BUSINESS a. New Initiatives i. Voices on the Green was a huge success - LCA will be receiving a donor check soon from David Green ii. Waldorf school request for sponsorship - -March (read email) Seetha will respond about public endorsement through sites, but they will need to wait until next cycle of State funding (2017-18) for finan Waldorf. iii. - in concept stage for open discussion, March 9th at 10:30am @Via Lago, also consider 1 of 1 involvement in upcoming LHS career day b. 2016-17 Projects: Parade i. - who is interested? Can we make this an inter-arts-organization production? Need 2 volunteers to walk Lynne Klemmer will lead work. April 17h date. Interested: Mark Discovery Day ii. (Memorial Day w/e) - do we want to order swag? What, and how much money do we have? Tabled until March. c. 2016-17 Donors & Membership strategy. Social media advertising- Item tabled until February. Tabled again until March to include Jessie, Leslie and others in discussion. 4. OLD BUSINESS (review) Dimmock Award d. Update - planned May 2017; need quorum - suggested at $200, in the future every other year? Need to request allocation from Town Accountant PIR e. Update Strategic arts & culture plan f. Update ArtsOffroad g. - not in 2017, but hoping to be in association with the 25th anniversary of Minuteman Bikeway in 2016 (some other groups are interested in this: Arlington LCC (rumour), Arlington Arts Center, Lexington Bikeways Committee. 5.
