Absent: Steve Cole, Mary Hutton, Ashley Rooney. Quorum: 7. Subcommitte Members (15): David Grabel, Yifang Gong, Bonnie Karshbaum, Pam Winters. Absent: Sudha Balasuryan, Kevin Collins, Dabby Harter, Julie Miller, Hong Xie. 6 vacancies. Guest: Karen Tyler, Veteran Services Officer. 7:02 PM: Meeting called to order by co-chair Geetha. 7:10 PM: Minutes of November 8, 2023, approved. Veterans Day Lessons Learned: - David/Coordinator: The breakfast really went well! Committee members all did their assigned tasks, making it easy for him watch the morning unfold. - There was a problem with the refrigerator resulting in frozen orange juice. - No Tea was available. - Sandwich Boards are too heavy to move about. Perhaps DPW could store them and be responsible. - Attempt to spread the politians among the Veterans did not work. They tend to want to sit together! We should provide more guidance to them or assign seat for them. - Karen received a complaint from a Veteran who didn't even attend the breakfast. Had she been there, most of her concerns were incorporated into the event! - Bonnie: rank/rate information should be posted on each car. Such information is available on the registration sheet. Small placards would have to be made before the event. - Cerise: best use of the Boy & Girl Scouts? She will be more insistent next year to know how many will be attending. - There should be a sign stating the car parade's END, so there is no confusion. Perhaps the fire truck should be considered the END. - Linda/high school posters: Should they be available to buy rather than deteriorate in our storage spaces? She will look into this possibility. 250th Celebration (2025) / Cerise - 4 Towns are involved in the planning: Arlington, Concord, Lincoln (the National Park), and Lexington. - Biggest concern is SAFETY. - As TCC sends out letters inviting participants to sign-up for 2024, we should alert them that the 2025 parade will occur on Saturday, April 20, with the Boston Marathan being held on Sunday, April 21. We should also reach out to other groups we don't usually see: the Grange, Native American Tribes, etc, as well as such stawards as the Lexington Minutemen and the Shriners. Martin Luther King Day (January 15, 2024) / Lorain & David - The Town has essentially asked TCC to monitor this group's budget of around $1,000. - Lorain and David will look into the details. - Sandy will liaise with the Town's website about this event. Patriots' Day (2024): Thinking Ahead: - Sandy to update our Town website with an intinerary, etc, as best she can since the Web Master is being replaced. A link to a planning section of our site will be worked on too. - G ee th a & Sandy will update the Application Form, incorparating the comments above about the 250th / 2025 celebration. - We were going to propose to the Select Board that all events be moved to Saturday to prepare for 2025, but Glen found out from the Minutemen Men that already so much is in place for the usual times, that we have deleted this idea! - Glen sought leadership for the 2024 Events: - Ashley will lead Publicity with help from Linda & Sandy - Lorain will lead the Sponsorships - Many stepped forward to lead the Parade: Sondra and Steve will continue their good work. Others willing to help are David, Yifang, Geetha. - Geetha and Sandy will work on our Town website. - Bonnie will lead the Youth Parade. - Always keep 2025, the 250th, in mind! Ot her Business: 1 - Some housekeeping issues: Lorain will keep track of TCC emails; Gresh will send out a TCC Members List; Geetha will send us information about boundaries. 2 - Our Holiday Party will be hosted by Sondra on Friday, December 22, at 6 pm. Sandy will coordiante the requested food donations; Linda reminded us that the annual Yankee Swap will be held. Each attendee is asked to bring a $10 wrapped gift. Next Meeting: January 10, 2024.
