Minutes of Meeting
November 30, 2016

Business
A quorum was not present so approval of the minutes of November 16, 2016 was postponed until
the next meeting.
The next meeting is Wednesday, January 11, 2017 in the Parker Room, Town Office Building.

Lorain has started to send out parade applications. She has received 2 applications back already.
Also, some groups who will not be participating this year have sent notifications.
Gina Johnson may not be able to participate in the 2017 parade. Committee may ask her to set up
her display in the Town Hall for Patriots’ Day.
Kim Coburn will contact Tanya Morrisett about whether she will be in Lexington for Patriots’ Day,
marching as part of the “Spirit of 1776” group.
Kim will contact Suzie Barry to ask if she has lists of parade participants for years previous to
2014.
Grand Marshall for this year will be Coach Bill Tighe.
Paul Jenkins will work on arranging cars for the Grand Marshall, White Tricorne Hat recipient, and
others in the parade who will need transportation.
Sandy Podgorski is working on the Schedule of Events for the weekend, along with June Baer and
Suzanne Caton.
Getting a parking map for Patriots’ Day is still in progress. June will follow up with the Town
Economic Development Department because they are working on developing a visitors’ parking
map.
The number of Schedule of Event programs to print this year was discussed. The committee
decided to print 2500 this year. Copies will be left at the Visitors’ Center, the Community Center,
Buckman Tavern, Town Hall, and possibly the Minuteman Park Center. Committee agreed that
distribution of the printed schedules should focus on places where out-of-town visitors will be.
Geetha suggested that committee should talk with the Town movie theater about showing a brief
video announcement about Patriots’ Day weekend events. Geetha will follow up with the theater.
Suzanne offered to work on a new donation solicitation letter for 2017.
Media forms are sent out to parade units but committee needs to follow up with units that don’t
return them so that the parade announcer has information about all the parade units.
Committee discussed the number of golf carts needed for the parade. It was agreed that the
committee needs to have a logistics meeting for golf cart drivers to clarify their responsibilities for
checking on parade groups, communicating with the check in desk, etc.
Linda Dixon reported that new T-shirts for parade ambassadors need to be ordered, and more L and
XL sizes need to be ordered.
