HomeMy WebLinkAbout2016-11-02-TCC-min Town Celebrations Committee Minutes of Meeting November 2, 2016 Parker Room, Town Offices Members Present Lorain Marquis, Chair; June Baer, Glen Bassett, Suzanne Caton, Dick Crogan, Linda Dixon, Carol Flynn, Karen Gaughan, Paul Jenkins, Linda Levitt, Sondra Lucente, Rich McDonough, Julie Miller, Wayne Miller, Bill Mix, Henry Murphy, Sandy Podgorski. Members not present Kim Coburn, Mary Hutton, Cerise Jalelian, Geetha Padaki, Dave Taylor, Bob Tracey, Sam Zales Business The Chair declared that a quorum was present. Photographer Dave Tabeling took the official committee photo for the FY 2016 Town Report. The Chair introduced Don Martini from Lexington Rotary, serving as liaison for the Veterans Breakfast. The minutes of October 19, 2016 were approved with minor corrections. The next meeting is Wednesday, November 16, 2016 in the Cotton Room, Cary Hall. We will need to focus on Martin Luther King Day at the conclusion of Veterans Day activities. Sam Zales is asking for committee volunteers. Veterans’ Breakfast, November 5 Karen, Sondra, Sandy, Suzanne, Carol, Wayne, Bob, Paul, Linda, Rich, Glen, Dick, Kim, Gina, Bill, Julie and Lorain are planning to attend the Breakfast. Sondra: has purchased all necessary supplies and will bring extra markers. Don Martini: Rotary has decided to purchase high quality plastic dinner plates in lieu of St. Brigid’s chinaware to expedite service and cleanup. Gina Rada: the Community Center and Michelson’s have each sold about 50 tickets; with 16 additional reservations for the Minutemen, committee members and guests, we are at about 135-140 at this point. Lorain: has ordered 200 breakfasts from Neillio’s. Karen: will bring decorated basket for raffle tickets. Suzanne: sandwich boards with posters have been placed at St. Brigid’s and Cary Hall. Bill Mix: the Minutemen will have two fifers on hand to play the National Anthem. The Minutemen will just post the American flag and the Town flag, leaving the service flags on the stage to be available for service portraits after the ceremony. All: reviewed the prepared script for the breakfast and made comments and edits. The Vietnam medals will be distributed during the door prize segment. Sandy: the slideshow is at LexMedia for production and the addition of music. It will be tested before Saturday. We ended up with 55 contributed photos, significantly above our initial goal. Rich: will open the program shortly before 9:00 for welcome and introductions; Don Martini agreed that the target time for serving breakfast is 9:00. Lorain (and only Lorain) will give the go-ahead signal. Veterans Day Parade and Program, November 11 Karen, Sondra, Sandy, Suzanne, Rich, Glen, Linda, Dick, Lorain, Wayne, Bob, Paul, Julie (maybe) and Gina will attend the program. Linda: the script for the Veterans Day ceremony is ready for the November 5 dress rehearsal. All veterans will be seated in the center section, first 10 to 12 rows. Our count of veterans and family members is now just under 50. Bill Mix: looking for USS Lexington person to ring ship's bell. Alan Wrigley, who coordinates the USS Lexington Memorial Ceremony for the Lions Club, is searching. If we don’t find a suitable Navy veteran, Bill will perform this task. Lorain. We’re all set for bunting Patriots Day, Monday, April 17, 2017 Kathy Severance of the Town Manager’s Office has made some small changes in the 2017 parade application. Units requesting a fee must submit a W9 form along with the application. We also need a way to estimate the physical space the applicant’s unit will occupy. The simplest solution was to include a question asking how many rows of marchers the unit will have. New Action Items Committee: Report to Keilty Hall at 3:00 on Friday, November 4 to help with setup. Sandy Podgorski: Work with LexMedia to have finished slideshow ready and available for breakfast; confirm Hank Manz’ appearance to run equipment. Lorain Marquis : Make changes in script for breakfast and get fresh copy to Rich McDonough. Check whether honorarium to Operation Home Ties is appropriate/permissible. Linda Dixon : Conduct dress rehearsal for Veterans Day Ceremony; make adjustments in script; continue to recruit veterans, rsvp to all inquiries and responses. Kim Coburn : Send finished draft of Veterans Day Program to Lorain and Linda by Tuesday, November 8.
