The minutes of March 30, 2016 were approved. Former member Dick Crogan attended as a guest; he plans to rejoin the committee. Brief Committee Assignment Reports Diana Bishop: VIP responses very slow. Working with Cerise on tickets. Will start calling tomorrow. Bill Mix: The Minutemen extend an invitation to the Consul General of Britain to the Reenactment. As a new tradition, they also invite the French Consul. No tickets are issued; the guests are just escorted to the reviewing stand. Rich McDonough: we’ve received a late inquiry from the Concord Militia. If they send in their application immediately (they are not charging a fee), we will honor it. Bob Tracey: Received verbal commitment from Stop and Shop that they will supply free water for parade; will obtain confirmation. Carol Flynn: Girl Scouts will have a float in the afternoon parade. Have a flatbed; will work on it Sunday. Sandy Podgorski: Kathy Santos, town Webmaster, is still working on the parking map. She needs to talk with the Chief of Police before finalizing it. Karen Gaughan: Marie Hill will ask last year’s Minuteman Cane winner if he wants to ride in this year's parade. Rich will ask Dick Michelson for the protocol on whether last year’s winners of both the Tricorn and the Minuteman Cane awards could share a single car. The Lions Club provides two cars for this year’s current winners; we would have to provide any additional cars. Sondra Lucente: Needs roster for Susan O'Keefe, the parade narrator. Melanie Lin: has been recruiting in CAAL, has had success. Now working on managing diversity. Paul Jenkins: radios are confirmed. He will bring to our next meeting for member training. The Police have a copy of our military vehicle list. He is removing Boston Strong decals from parade banners. JP Carroll will lend us a van for the collection of the banners after the parade. Kim Coburn: Does not have names of trumpet players from the high school band yet. Reminder that we must set aside funds from the committee budget for the Langley Winds Concert as well as for Memorial Day and Veterans Day; we cannot draw funds from the gift account to support these events. Linda Dixon: Total sponsor donations are up to $14,680. This includes $6,630 of new funds, including 4 new sponsors who sent cash donations. We anticipate 24 sponsors needing banners. The number of Parade Ambassadors is up to 39; we need about a dozen more. Lorain Marquis and Rich McDonough: will double check with Police Department whether police need a list of all vehicles in the parade or just the military vehicles. The Old Guard will be here tomorrow for a walk-through of Patriots Weekend events. Patriots Day, Monday, April 18, 2016 New Unit Approved:The committee approved the addition of the Hanscom AFB Patriot Honor Guard, at no fee. Parade Lineup: A subgroup split off from the meeting to work on the parade lineup while the meeting continued. Golf Carts: Kim reviewed the preliminary assignments for golf carts. She will have the list of final assignments next week. The plan is for one cart to be at the head of the parade, four carts to continually patrol four sectors of the parade, and one cart to bring up the rear. Other carts will be assigned for special purposes. Lexmedia Involvement: Florence DelSanto of Lexmedia will attend our next meeting to learn the final plans for parade lineup, starting place, announcer, VIP seating arrangements, and other details to make sure that Lexmedia filming of the parade goes smoothly. Old Guard schedule: The Old Guard will give a free concert on Friday evening, April 15 at 7:30 p.m. at Cary Hall; a free performance Saturday, April 16 from 12:00 -2:00 p.m. on the Green, a free performance on Monday, April 18 from 12:00 to 1:00 p.m. on the Green, and will march in the Parade on Monday afternoon. Storage for Parade Lineup Number Stakes: after the parade, we must find a new storage location for the number stakes we used to store in Michelson’s barn. Wayne offered to take them. Paul will continue to store the banners at his house. Expense Reimbursement : Lorain explained the reimbursement policy and encouraged members to submit requests for reimbursement if anyone incurs reasonable expenses on behalf of the committee.
