Upon a motion by Nicholas Santosuosso and seconded by Richard F. Perry, the Board
voted to approve the Minutes of the Regular Meeting of May 11, 2016, Annual

30, 2016 and Special Meeting of August 18, 2016. The roll call vote was as follows:

5.EXECUTIVE DIRECTOR’S REPORT

B.LHA and Parker Financials
Upon a motion by Nicholas Santosuosso and seconded by Richard F. Perry, the
Board voted to accept the LHA Financials for May 2016 and June 2016. The Parker
Financials will be reviewed at the next meeting. The roll call vote was as follows:

C.Quarterly Financial Statements Certification (sign 3x)
The Board signed the certifications for submittal to DHCD.
D.Vacated tenant’s collection loss write off
A tenant from Vynebrooke Village passed away in August 2014. Multiple
notices were sent to the son in Utah with no response. The total amount of the
write off is one month rent of $274.00.
Upon a motion by Nicholas Santosuosso and seconded by Richard F. Perry, the
Board voted to write off the Vynebrooke Village balance of $274.00. The roll call vote
was as follows:

E.FISH 155086-Certificate of Final Completion and Final Requisition ($8,444.50)
Shower replacement at 27 Tewksbury St and 87 Hill Street
Boston Mechanical, Inc. has completed FISH# 155086 for the roll in shower
replacement at 27 Tewksbury St. and 87 Hill Street. Application for Payment #2
in the amount of $8,444.50 is due.
Upon a motion by Nicholas Santosuosso and seconded by Melinda Walker, the
Board voted to approve Application # 2 in the amount of $8,444.50 and the Certificate of
Final Completion for Boston Mechanical, Inc. The roll call vote was as follows:

L.A.L. Masonry, Inc. has completed FISH# 155087 for the porch and stair renovation for
45 Forest Street. Application #1 in the amount of $16,530.00 and Application #2 in the
amount of $2,038.50 are due along with the Certificate of Final Completion.
Upon a motion by Nicholas Santosuosso and seconded by Melinda Walker, the
Board voted to approve Application # 1 in the amount of $16,530.00, Application #2 in
the amount of $2,038.50 and the Certificate of Final Completion for L.A.L. Masonry,
Inc. The roll call vote was as follows:

F.Project updates: 27 Tewksbury, 87 Hill and 45 Forest St roof replacement; Tree
work project; Greeley back door and porch repair (CPA) project
The roof replacement project is going out to bid in February 2017. The tree work
project is out for bid now with a total cost of $23,000.00. Alvord Architects is
working on the Greeley Village back door and porch replacement CPA project.
This should be going out to bid next winter.

G.Snow Plowing Contract
R.L. Barnard has offered a contract for Countryside Village in the amount of
$13,903.00 for the 2016-2017 season. An $800.00 per storm contract from Leary
Contracting was received. After Board discussion it was decided to renew with
R.L. Barnard. The Board also requested that the housing office keep track of
storms this year as to compare.
Upon a motion by Melinda Walker and seconded by Nicholas Santosuosso, the
Board voted to renew the Snow Plowing Contract with R.L. Barnard, Inc. for
Countryside Village in the amount of $13,903.00 The roll call vote was as follows:

H.Ashland Solar Update
The project is on schedule. If any Board member wants to visit the site, please
let Caileen know.
I.ModPHASE Application
Caileen was in attendance for a meeting with Social Services and Enhanced
Asian Community on Health (EACH) to apply for a ModPHASE Grant. This
program is designed to have seniors age in place by providing educational and
social services. The application is to renovate the Vynebrooke Village kitchens
as 32 of the 48 are original
Upon a motion by Melinda Walker and seconded by Richard F. Perry, the
Board voted to approve the ModPHASE Application for Vynebrooke Village.

J.CPA Application
The Board discussed possible CPA projects. Applications are due 11/1/16.
Caileen will meet with Bob Peters for an update as he is on the committee.
K.State Appointed Board Member update
Bob Peters appointment ends 1/17. Caileen is working on the paperwork to
request his reappointment.

L.DHCD Regulations changes and updates
The Board reviewed updates.
M.Job posting
The vacant Maintenance Laborer positon was advertised. Approximately 15
resumes were received. The interviews are scheduled for next week.
N.Rotary cookouts-September 20-22, 2016
Board members are welcome to attend this annual Rotary event. They are held at
each village.
O.2016 NAHRO Fall Conference November 14-15, 2016
Caileen is attending. Board members should contact Kathy if they want to attend
to be registered. In previous years the Board sponsored a full page ad in the
amount of $100.00.
Upon a motion by Melinda Walker and seconded by Richard F. Perry, the
Board voted to sponsor a full page ad in the Fall Mass NAHRO Conference booklet in
the amount of $100.00. The roll call vote was as follows:

An affordable housing informational session is being held on 10/4/16 at the
Lexington Community Center. Melinda inquired if we could post fliers.
