Minutes of Meeting
October 20, 2016
A meeting of the Community Center Program Advisory Committee was held on Thursday,
October 20, 2016 at 7:00 p.m. at the Lexington Community Center, 39 Marrett Road, Lexington.
Meeting Attendees: Members - Nancy Adler, Dan Palant, Nancy Shepard (Chair), Archana Singhal,
John Zhu
Ex- Officio Member Attendees: Sheila Butts (Community Center Director), Charlotte Rodgers
(Director of Human Services)
Unable to attend: Karen Simmons (Director of Recreation & Community Program), Alessandro
Alessandrini, Lisah Rhodes
Other Attendees — Betty Borghesani- Co -Chair COA
The meeting was called to order at 7pm. Committee members and attendees introduced themselves.
1. Citizens and Other Boards
Betty Borghesani- attended because she wanted to hear more about the room use policy.
2. Minutes of September 22nd, 2016
The minutes from the September meeting were reviewed and unanimously accepted.
3. Directors Report
• Rental Fees:
o Community Center (CC) staff met with the Board of Selectmen (BOS) about
proposed fees for building use. The BOS is in favor of establishing a fee structure
and a Universal Use Policy for all town facilities. The CC staff is gathering more
information to present to the BOS next month. They are currently testing have
several rooms (245, 246, 123) available for use on a first come, first served basis.
• Voting at the CC:
o Precinct 3 votes at the CC. There is also a large event at the Museum that day.
There is a concern about having enough parking for voters. Morning programs
have been cancelled for that day.
• Human Services Update:
o Charlotte and Karen will be attending the MA Council on Aging annual meeting.
They will be giving a presentation on "Delivering Senior Services in a
Multigenerational Center ". The talk will also include a summary of what the 1st
year looked like.
o Charlotte reported that in 2015 -16, there was a 32% increase in the number of
seniors that used services. There are 8500 seniors in Lexington (60 +). By 2020, it
is estimated that there will be 9750 seniors.
4. Member Representation /Discussion Items:
o Cell phone policy: Dan asked if there were guidelines for where cell phones could be
used. This led to a discussion of how visitors know about guidelines for use of the
building. It was suggested that guidelines or FAQ's could be added to the Tri -fold
brochure about the CC. The staff is sensitive to keeping interactions with visitors friendly
and positive.
o Charge of the Committee: Dan and Nancy Adler both brought up our role in helping with
programming and what outreach we should be doing to our groups and the community in
general.
o Special Needs groups are using the building more. These programs are easier to
accommodate because they have their own staff that can facilitate and the CC does not
have to provide staffing.
o Intergenerational Programming- Charlotte brought up that Sandro had suggested trying to
organize this type of programming. One idea is to set up some kind of mentoring program
and match people with similar interests.
o Books: Wendy, the new volunteer coordinator is working with Ethie Slate from the
Friends of the Cary Library to keep the library stocked with books that visitors can take.
This will be called Cary Corner. There was also a suggestion to have some children's
books available.
o Lexington Reads: it was suggested that some copies of the Lexington Reads book could
be available at the CC and that some of the programs might take place at the library.
Nancy Shepard will bring this up to that committee.
o Winter snow programs: The staff suggested that they would like to have some outdoor
programs this winter. The hope would be that all ages would attend. Dan said he has
connections to people who could help with making snow sculptures.
o Lockers: Dan asked if it would be possible to have lockers available for visitors using the
fitness room. The staff said that was looked at when the building work was done, but
there was no place to put them. There are cubbies in the fitness room that visitors can use.
5. Balanced Programming:
o We discussed that there are many groups in town that offer programs. The Cary Library
and Lexington Community Education both offer programs that may overlap with what is
offered at the CC. Is there a way to co- sponsor some of these programs?
o Are there other groups that would partner with the CC on programs? The Lions Club
sponsored the Family Movie Night at the end of the summer Are there other possible
partnerships?
6. Next Steps /New Business:
o The staff is interested to hear any suggestions from the community about programs that
would be of interest.
o The next Community Center Program Advisory Committee meeting will be held on
November 17th at 7pm.
