Attendance: Present: Steve Poltorzycki Ashley Rooney, David Hoose, Lisa Herbert, Elsie Hsu, (Liz Rozan), Marie Hewes Absent: Shalini Kakar, Jessie Chen, Claudia Lach Guests: Recording Secretary: Marie Hewes •'• Call to Order The meeting was called to order by the Chair at 4:07 PM. ❖ Secretary's Report : The meeting notes of July 20, 2023 were approved unanimously. Motion to approve the meeting notes of July 20, 2023 Moved by Steve Seconded by Ashley Approved unanimously. ❖ New Council Member: Elizabeth Rozan introduced herself and volunteered to manage the website, once trained. Motion to welcome Liz Rozan as a new member Moved by Steve Seconded by Ashley Approved by all- Welcome Liz! ❖ Treasurer's Report: Steve confirmed that we are getting $ 6,000.00 from the town. The budget cycle starts in September, and early that month Steve will ask for more funding for next year. ❖ 2024 Grant Cycle Planning : Steve shared the 2 paragraphs with the local criteria for review. The language is identical to last year's. Motion to approve the local criteria Moved by Steve Seconded by Ashley Approved unanimously ❖ Grant Cycle Publicity: A press release was put in the Lexington Times by Ashley. We will also ask the new person in charge of Link to Lexington to share the Grant Cycle information. It will also be moved onto the first page of the website by Steve. Grants open September 1 to October 17th. We discussed opening grants to High School students. Steve will send a Doodle about having a date to begin reviewing the grant submissions.. ••• Survey: The survey has been discussed in a sub-committee ( with David, Marie - led by Claudia). We will cover a couple of points at our next meeting with Claudia. ❖ Porchfest(status update, publicity requirements) Eric and Lisa have been working on matching bands and porches. Right now we have 75 porches and 70 bands. We will cut back on some porches. Steve has already communicated with the Police Chief and the Town Manager and will go next to the Selectboard. We will have one Public Porch (The Stone House). The rain date is the next day. The Council will have a table ( probably at Emery Park, Depot Square ) to hand out maps to visitors. We will be discussing Porchfest in depth at our next meeting, which will take place September 6th, 2023 at 7PM. ❖ Council Roles: We will need to discuss Council Roles opening next September, and will wait for the next meeting to discuss the Co-Chair' s positions. Liz Rozan, our newest member will take care of the website, once trained. Claudia Lach is responsible for updating Constant Contact. If no one steps up to fill the treasurer's position, Marie has agreed to switch roles, which would leave the Secretary's position open. ❖ New business: Lexl-aughs- Lisa will be looking for a venue and an artist and then ask members of the Council for help.
