HomeMy WebLinkAbout2023-02-01-LEX250-minSemiquincentennial Commission (Lexington 250) Wednesday,February 1,2023 Meeting Minutes Pursuant to notice duly filed with the Town Clerk,the Semiquincentennial Commission (Lex 250) convened via Zoom on February 1 at 4:00,as allowed by legislation (S.2475)extending the suspension of certain provisions of the Massachusetts Open Meeting Law. Present:Suzie Barry (Select Board Member),Steve Conners (Reenactment Community),Barry Cunha (Local Business Representative),Bebe Fallick (Tourism Committee Representative), Cerise Jalelian (Town Celebrations Committee Representative),,Jillian Tung (Music and Arts Representative),Jane Hundley(LPS Representative),Julie O’Leary (Civic Representative),Guests: Carol Ward,Executive Director,Lexington Historical Society 4:05 pm and Rick Lofria,Executive Director,Greater Merrimack Valley CVB 4:25 pm Welcome 4:00 pm Guest:Carol Ward,Executive Director,Lexington Historical Society 4:05 pm ●Excited about Lex250 and thinking about the broad sense of planning 2025.Will stick with the regular menu of events for Patriots Day Weekend ●Capital Projects:Updating the Depot (hopefully done by October 2024)April 4,2023 is the ground breaking.Special exhibitions will be housed in this space during the 250th celebrations.Hancock Clarke Barn updates and reinterpretation of Buckman Tavern ●Member Comments/Questions ○Ms.Barry:Merchandise?Ms.Ward is working with a person on this.Has a connection with people in the industry who does merchandise for various organizations Guest:Rick Lofria,Executive Director,Greater Merrimack Valley CVB 4:25 pm ●Direct marketing organization-advocate for communities at tourism trade shows,senior trade shows,academic trade shows,social media,WCVB, ●Will help promote events.There are mini-grants available-can cover up to 20%of an event’s marketing budget (look at website for information).Merrimack Valley Attractions Group-Inviting folks from the region and taking them around the area.Does co-op advertising,National Parks too,New England Association of Schools and Colleges-they can communicate with this group too. ●Greater Merrimack Valley CVB utilizes a lot of social media,mostly people from NY,CT, and a 50 mile radius around the area. ●Member Comments/Questions ○Ms.Fallick -Merrimack Valley CVB might not resonate with people who don’t know that Lexington is in this geographic area.Mr.Lofria will work to make sure that Lexington has the attention that it needs.Use the “events”link on the website to submit our events. ○Mr.Conners-Question about the website and how we can work with GMV-CVB. Need to work on system to feed Lex250 info to GMV-CVB ○Ms.Tung-Could we have a separate section for Lex250?Yes,Mr.Lofria likes this idea.It would be great to have a QR code for Lex250. Approve Minutes 4:45 pm ●December 7,2022-not ready to be approved ●January 18,2023-yes ●Reviewed Minutes Taker Schedule Updates/Discussion:4:50 pm ●Suggestion Boxes (In a Lexington Blue color)-Ms.Fallick ○Approved for-Visitors Center,Town Office Building,Community Center,Library, DPW 201 Bedford St,Police Station,Munroe Centre for the Arts,LexArt and two historic buildings ○First suggestion box prompt:Lex250 monument- ○Ms.Tung:What about an online option too!Sure,this sounds like a great idea. Ms.Fallick and Ms.Tung will work together to put QR code on the boxes as well as circle back with Ms.Barry when ready to purchase. ○Vote to approve 8 suggestion areas-all voted yes Review Road Show Template ●Ms.Tung-No update at this time RFP for Website Update ●Mr.Conners-Statement of work and not a full RFP to solicit at least three bids from the state approved list.Goal is to have the responses back by March 1,2023 Town Website 250th Web Page Update ●Mr.Conners-This is in process Monument Small Group Update ●Ms.Fallick-No update at this time Video and Sound at Visitor ’s Center Update ●Mr.Conners-Was successful in fixing it.It would be helpful to have high resolution pictures to put inbetween the 10 minute video cycles. ●Talked about various townspeople to contact for these images.Perhaps people from the 300th celebrations?It was suggested that Wendy Manz may have a good selection. Patriots’Day Stakeholders Meeting Semiquincentennial Commission (Lexington 250)Wednesday,February 1,2023 Meeting Minutes ●Date-Feb 7 at 2:00 p.m.in selectboard meeting room ●Goal:To engage the stakeholders in a conversation about having the re-enactment (perhaps all of the events?)on Saturday in 2025.Getting this finalized will allow the 250Commission to publicize the events sooner rather than later.This is a hybrid meeting. Future Meeting Guests ●DAR and Patrice Tadesco-Freedom’s Way Corridor ●North Shore Chamber of Commerce Volunteers/Recruiting/Launching Groups Update- ●Community Engagement-Ms.Tung sent out a Doodle poll to gauge interest.Ashley Rooney is interested in writing articles ●Government Relations:Ms.Barry has a meeting planned to meet with representatives of Hanscom Air Force Base State/Federal Update ●February 14 the state commission meets Lex250 Commission Membership Update 5:15 pm ●Mr.Steve Cole resigned.It was noted that Mr.Cole is very well suited for the logistical side of the events so it would be time well spent to engage Mr.Cole in staying active,in some capacity,with Lex250 Other Items 5:20 pm none Next Meeting Dates:Feb.15 on Zoom and March 1 is a hybrid format Respectfully Submitted, Jane Hundley Semiquincentennial Commission (Lexington 250)Wednesday,February 1,2023 Meeting Minutes
