APPROVAL OF MINUTES Approval of Minutes of Regular Meeting of December 8, 2022 Upon motion by Melinda Walker and seconded by Richard F. Perry, the Board voted to approve the amended Minutes of the Regular Meeting of December 8, 2022, all members having received copies. PUBLIC COMMENT Maureen provided feedback from residents she has heard at Countryside Village. One was inquiring about our current ‘no smoking policy’ and the current status of punch list items for the bathroom and closet project. 4. FINANCIALS A.) Approval of Bills and Checks paid in December 2022 Upon a motion by Richard F. Perry and seconded by Mark McCullough, the Board voted to accept the Bills and Checks as presented for December 2022. December 2022 Financial Report 2 Caileen noted that these Financials do not include the water bills. They will be reflected next month. Upon a motion by Melinda Walker and seconded by Richard F. Perry Mark McCullough Melinda Walker Maureen Rynn 5. EXECUTIVE DIRECTOR’S REPORT A.) Administrative Updates Caileen reported the following: • Jennifer Leonard has been hired as the Receptionist/Admin Support. She started this week and it is going well. • Julie Johnston will be here part time training Jennifer and assisting with other office duties. • The ad for Resident Service Coordinator has been posted. This is a part time shared position with 3 housing authorities. • The transition of Section 8 to Chelsea Housing Authority is going smoothly. The residents have been cooperative. • Driscoll & Driscoll submitted their letter closing out the ED Search. • The new LABBB student has started. He works 2x a week. B.) Project Updates The punch list for the Countryside Village Bathroom and Closet Door Project has been finalized by the contractor. Caileen has requested the contractor annotate each item. The final plumbing and building inspection is today. There is a 12- month warranty period. The ModPHASE project is moving along with the anticipated start date of 3/1/23. Last week Caileen had a site meeting with Lexington Building Commissioner and Fire Department, along with contractor, architect and Mike. Caileen will be discussing the ModPHASE Project at the Commission on Disability Meeting 1/17/23. Residents from Vynebrooke buildings 11&12 are being shown the vacant Greeley Village units today. 3 Nick suggested that LHA plant a tree at Greeley Village in memory of Gerry Gillis, a resident, who recently passed away. 6. OLD BUSINESS 7. NEW BUSINESS 8. DISCUSSION A.) April Board Meeting date Caileen would like to change the Annual April Board Meeting date to 4/6/23 to meet annual Federal and State reporting deadlines The Town Managers office contacted Caileen seeking a low or moderate income resident to serve as a Trustee of Lexington’s New Affordable Trust.
