Pre-Meeting Tasks Review of draft minutes from August 31, 2022 meeting Attendance: Present: Lisa herbert, Anwell Tsai, Ashley Rooney, Shalini Kakar, Marie Hewes Absent: David Hoose. Jessie Chen, Doug Urban, Guests: Elizabeth Xu Recording Secretar y: Marie Hewes Meeting start time: •Call to order : 7:00 PM •Secretar y’s report : Approved Unanimously. •Treasurer’s report : - MCC $7,241.00 ( to pay grantees, including ourselves) - LCA : $4,190.00 ( No restriction / No claims right now) - Town : $4,560.00 : Some of Haiku came from that account. ( Spent by 6/30/23) Steve has to work on a report about the State account this month. •Grant cycle: status of publicizing grant availability . - We have not received any applications yet. - Ashley will send out another round of infor mation. -Steve and Ashley will work together on the content of the new Newsletter: Summar y of the Haiku project as well as a video.We would also add some infor mation about the following: ❖Potential new projects. ❖Local events . Infor mation about the Symphony as well as other local organizations. ( Anwell would take care of the Symphony). The Lexington Symphony is interested in collaborating more with the Arts. •MCC ARPA g rant - Steve will be working on the Grant for the MCC. The only challenge will be to present the finances. They want to know how much we spend per year.• Discovery Day (October 8, 2022) - October 8th : 10AM-3 PM : Volunteers will be present at our booth: ❖12-2 : Lisa ❖10-12 : Ashley and Anwell ( Steve will bring a tent) ❖12.30-3 : Elsie until 3 PM Here are some ideas sug gested to make our booth more attractive to passers-by:➢ We will be creating posters with photog raphs of some of our work : Utility boxes, doors, and Fair y Houses. ➢Offer prizes and provide children with coloring supplies. ➢Research the possibility of making stickers, magnets… ➢Supply children with blank Cards to send to Hospital,elderly houses ➢Elsie volunteered handling kids cards, blank cards, crayons. ➢Stickers and magnets ( doors, utility boxes, haiku): Shalini and Ashley. •Potential projects for FY 2023 A/ LAAF: Shalini K akar ❖LAAF is a 2 days community event ( all the arts for ms: Dance, music, stand-up comedy). ➢The purpose is to bring the entire community and the tourists together once a year. Food tr ucks could also be added if allowed to offer different cuisine. Over the years this festival should build up the excitement. ➢The first year we could start with a 3 hours event and then gradually add more activities including kids ( Kite flying events for example).➢ We could look for sponsors. ➢We would need to have dedicated members and create one committee as well as sub committees. B/ Dance around the World : Elizabeth Xu ❖This is a town celebration and we have agreed to be partners in this project. Dance groups from different origins ( Korea, Japan, India, Scotland, Israel …) would be perfor ming. ➢We have $5,000.00 for that project. ➢It will take place on March 18th probably in the High School Gym. ➢Parking, bathroom are needed for this event. ➢We need to check if the school has a technician to handle the sound and lights. C/Fairy homes and Gardens :Ashley Rooney ❖Young families and preschools are asking to repeat this event.It’s an easy project. ➢Steve proposed that some fair y houses could be put on the bikeway. Houses could be installed in trees and we could ask some artists to create their own work and represent different styles of architecture.➢ That project would need DPW help. ➢Time : April-May ➢We would need the approval of the SelectBoard. D/Lexington laughs : Lisa herbert ❖A weekend in January for a comedy Night. MLK weekend.Lisa sug gests charging a small fee to support the project. ➢We need to find a venue. ➢Lisa checked out the comedian featured in the Lexington CVS window. ➢Steve wor ries that there are many other events on that weekend. ➢We could partner with the Historical Society. ➢The event could be hosted in the Depot ( 100 people). ➢Members who know comedians should send the infor mation to lisa. ➢Anwell sug gested trying some comedian nights to get to know the demand. ➢We discussed the price for the event : Steve would prefer not to charge money. Donations could be sug gested. ➢The refugee group in Lexington is looking for money.The Comedy Night could sponsor this group. ➢We have 8,000 dollars and we can raise more. Steve will be looking at other grant programs for celebrations. E/Porchfest : ❖This has been a very popular event in Arlington.The idea is to make lawns and decks available for musical performances during the months of April-May. ➢This event would require many volunteers.( 3 or 4) ➢We can start with a few bands and build up.
