HomeMy WebLinkAbout2004-11-18-RTMS-min TOWN MANAGER SEARCH COMMITTEE MEETING MINUTES NOVEMBER 18, 2004 The meeting of the Town Manager Search Committee was called to order at 5:30 PM on Thursday, November 18, 2004 at the Town Office Building, Lexington, MA by committee chair Janet Perry. Attendees 1. : Search Committee members Scott Wilson, Janet Perry, Barrie Peltz, Richard Pagett, Don Marquis, Bill Kennedy, Olga Guttag, Bebe Fallick, Jack Donahue, Robert Cataldo, Susan Bottan, Cathy Abbott. Finance committees’ liaisons Deborah Brown (Appropriation) and Shirley Stolz (Capital Expenditures). Tom Groux, Consultant. minutes 2. Executive session may be used for discussion of candidates by name, but a grid will be developed for public discussion. ?? If no candidate requests confidentiality, the Committee may determine guidelines for discussion. It was suggested that this question be referred to Town Counsel. ?? Executive session is permitted for discussion of interview questions. Mr. Groux will screen resumes and sort by category: 1) not suitable 2) meet most requirements 3) meet all requirements/best fit Mr. Groux recommended interview length of one hour with time between for Committee review, reaction and discussion. Candidate photos are discouraged. Interview sites should be neutral and present the Town in a positive light. discussed the process 4. Mr. Groux for the Committee’s search work. He will update the applicant grid weekly. Screening will begin as soon as resumes are received, but he suggests that Committee members wait until a large number of resumes have been screened to get an idea of pool strength. He will send application sets (to lock box) every 3-4 days. Suggestions of information sought for the grid should be directed to Mr. Groux through Ms. Perry. A packet about Lexington will be sent to candidates who meet basic requirements. Members suggested several documents for packet, including a brochure produced by former Economic Development Officer Joe Marino in 2001/2002. The interview schedule will be determined after seeing the strength of the response to our advertisements. ICMA advertising may produce applicants by mid-December. Discussion about networking followed. Mr. Groux will conduct an executive search through his contacts, including out-of-state. Mr. Pagett stated that the Selectmen hope for active outreach and communication to top Massachusetts managers. Outreach by Mr. Marquis, as a former Town Manager and officer of ICMA, was encouraged after members considered his unique and helpful position. All other contacts and outreach should be made through Mr. Groux. The next meeting will be on Wednesday, December 1, 2004 from 5:30-7:00 PM in Room G-15, Town Office Building. (Please note that this is a change of date.) The meeting was adjourned at 7:00 PM.
