HomeMy WebLinkAbout2022-02-09-LEX250-min RECEIVED 2022 22 I ir, M08 airvi Town of Lexington, Semiquincentennial Commission (Lex25O) I OWN CLERK Meeting on Wednesday, February 9, 2022 Hosted Virtually via Zoom LEXINGTON 3:42 pm-5:05 pm Members Present: Suzie Barry (Select Board), Steve Cole (Community Representative), Steven Conners (Reenactment Community Representative), Bebe Fallick (Tourism Committee Representative), Cerise Jalelian (Town Celebrations Committee Representative), Julie O'Leary (Civic Representative), Paul O'Shaughnessy (Historical Organization Representative), Mona Roy (Community Representative), Jillian Tung (Music and Arts Representative) Members Absent: Barry Cunha (Local Business Representative) Guests: None noted 1. Meeting called to order by Ms. Barry at 3:42 pm 2. Lex250 meeting started late due to limited Zoom accounts managed by the town and the previous meeting on the account allocated to the Lex250 meeting ran over their allocated time (Note, is there a meeting scheduled for this Zoom account immediately after the Lex250 meeting time?) 3. Motion to accept minutes from 11/29/2021 and 1/19/2022 meetings by Ms. Barry, seconded by several members, approved by all members present 4. Minutes for Dec meeting should hopefully be available in time for next scheduled meeting 5. Suzie Barry informed the members of the need to updates to the Lexington Select Board at least quarterly, to be done at the Select Board's March 2022 meeting. Also on March 151, 9:30am Suzie Barry and Mono Roy to present to senior managers of town departments an overview on the Lex250 Commission, guide them on budget planning needs related to the Lex250 activities, and request that specifically the police/fire/DPW departments begin planning and presenting to their respective regional groups and partners 6. Discussion of scheduling the 250th Battle of Lexington Reenactment on Saturday, April 191h 2025 • Paul O'Shaughnessy confirmed that the 2251h anniversary reenactment was held on Saturday of Patriots Day weekend 2000, starting in Lexington, then in Concord, followed by a running battle reenactment all the way back through Lexington • Jill O'Leary proposed asking the Lions Club to schedule their road race on Saturday as a way of potentially attracting more runners • Steve Cole mentioned that we should also consider holding the 2024 events on Saturday as a dry run for the 2501h anniversary • Suzie Barry said that a lot of the Lexington town staff, particularly in the police and fire departments have never worked through a Patriots Day weekend since we last did it three years ago. • Bebe Fallick relayed that Saturday is the Jewish Sabbath and that should also be a consideration which the whole commission agreed. In 2025, Patriot Day weekend will also be coincident with Good Friday and Easter Sunday just like this year. 7. Video Update • Steve Cole is working with LexMedia, collecting photos all the way back to the Centennial celebration in 1875. He is working with Sam Foreman on a rough draft of the narration and overall script for the video, plan to have that done before the end of the week • Steve Cole proposed using Chris Haydon as the video narrator.The group is working on getting permission to use the photos in the Cary Library Worthen collection and seeking photos for all type of"big" town celebrations • Mono Roy proposed reaching out to the different cultural groups in town to be as inclusive as possible; she will share some contacts • Jillian Tung mentioned that LexMedia has lots of recorded music being performed by the Bi-Centennial Band, also the William Diamond Jr. Fife and Drum Corp, and the Lexington Symphony 8. Logo Contest Update • Jillian Tung reported that the submission date has been set to March 2nd, 5pm and publicity has been an ongoing process. The judges will meet on March 10th to review all submissions that meet the established contest design criteria, plan to announce the winner on March 11th • Lex250 to move meeting scheduled for March 9th to the 10th to accept the report from the contest judges 9. Budget Update • The budget was submitted and there is some room to adjust spending in the allotted categories should there be a need,just need to have full receipts 10. Workgroups Update • A list of workgroups was identified and enumerated back in the fall of 2021 at a Lex250 meeting • Suzie Barry will send out a list of those workgroups and all members are requested to identify their top three groups that they are interested in contributing their skills towa rd 11. Next Meeting date • The next scheduled meeting of Lex250 is Wednesday, March 23rd, 2022 at 3:30 pm, hosted virtually via Zoom • Suzie Barry will also develop a schedule of Lex250 meeting dates between now and June of this year 12.
