HomeMy WebLinkAbout2021-11-04-MMC-min RECEIVED Monuments & Memorials Committee 2021 0 IIP°lee, 213 Ipui °m MeetingMinutes TOWN CLERK LEXINGTON MA Thursday, November 4, 2021 7:00 PM For this meeting the TCC is convening by video conference by the application Zoom as posted on the Town's website identifying how the public may join.* Members Present Linda Dixon, Chair; Glen Bassett, Bebe Fallick, George Gamota, Danjun Pu, Charlie Price Members Not Present Leslie Masson, Charles French, Avram Baskin Guests Doug Lucente, Vice Chair, Select Board Dawn McKenna, Chair, Tourism Committee Business Linda Dixon convened the meeting at 7:00 p.m. Approval of Minutes of September 30, 2021 Upon motion moved and seconded, the minutes of September 30, 2021 were approved by roll call vote. John Frey Memorial Marker Linda reported that the Monuments and Memorials Committee forwarded its report to the Select Board recommending approval. At a regular meeting of the Select Board on October 25, 2021, the Board voted unanimously to approve the installation of the marker. Lafayette Historical Marker Following a previous Committee vote of approval, Marcia Baker agreed to a slight change in the location of the marker with the Tourism Committee, necessitating another committee vote. Tourism Chair Dawn McKenna explained the Unified Signage Program and how the Lafayette Sign will mesh with it. She showed photos of the new site, located a few feet into Belfry Park. When the Lafayette sign arrives, it will be installed promptly. Upon motion moved and seconded, the motion to accept the new location was unanimously approved by roll call vote. Linda will draft the formal committee report to the Select Board. Developing the Monuments and Memorials Database • The Monuments and Memorials Reporting Form, detailed version, is now on the website. Danjun offered some ideas for processing submitted reports. • Several suggestions and changes were incorporated to make the reporting form easier to use. • We need to find crowdsourcing outlets for promotion of our database project and distribution of the reporting form, for example the website, group emails and chat lines, the schools, and the Scouts. • The Database Working Group has done some research on the Robbins Cemetery and the Olde Burying Ground, and memorials found inside certain public buildings. They have also drafted a spreadsheet which will be the foundation of our future database. Policies and Procedures Manual George Gamota presented the Fourth Draft from the Working Group, which generated discussion about the wording of the Committee Charge. Currently the policies document describes only the portion of the charge that empowers the Committee to hear proposals for new monuments or memorials. All agreed that the policy manual should contain sections dealing with the other aspects of the Charge, namely: creating a catalogue/database of existing monuments and memorials in town; developing a maintenance and restoration plan for the town's monuments and memorials; and identifying a need for a new monument or memorial within the Committee and initiating a proposal to the Select Board. Glen Bassett will prepare a new draft that distinguishes these various roles. Upon motion moved and seconded, the motion to adjourn was unanimously approved by roll call vote.
